Document Condition Thoroughly
Use photographic move-in reports and signed inspection checklists to support deposit deductions or damage claims; store timestamped images along with the signed lease in the tenant file.
Standardize Payment Terms
Specify accepted payment methods, exact due dates, and late fee calculation in dollars or percentages to avoid ambiguity and comply with state fee limits.
Record and Archive Electronically
Keep executed PDFs with audit trails, dated signatures, and access logs in a secure document system to simplify retrieval during disputes or accounting audits.
