What the Revised Business Quote Template Is

The Revised Business Quote Template is a structured commercial document used to replace or update a previously issued price estimate for goods or services. It restates scope, pricing, delivery timelines, and any changed terms, and functions as a formal offering that can be executed by the parties. The template is designed for clarity so that approvals, changes, and signature capture are simple to document and later verify if disputes arise.

Why a Clear Revised Quote Matters

A well-prepared Revised Business Quote Template reduces ambiguity, documents price changes, and provides an auditable record of the offer and acceptance, helping prevent billing disputes and easing internal approvals.

Why a Clear Revised Quote Matters

Who Typically Prepares and Signs Revised Quotes

Use the Revised Business Quote Template when an existing offer needs formal amendment and a clear, dated record is required.

  • Sales teams updating pricing after scope changes and tracking approvals from stakeholders.
  • Procurement or purchasing managers reconciling supplier revisions with budgets and purchase orders.
  • Project managers issuing corrected cost estimates tied to change orders and schedule impacts.

Step-by-Step: Completing and Issuing a Revised Quote

A concise sequence ensures accuracy and proper authorization before a revised quote is sent to a customer.

  • 01
Review Prior Quote: Compare changes to the original scope and highlight variances.
  • 02
Adjust Line Items: Update quantities, prices, and delivery estimates as needed.
  • 03
Obtain Internal Approval: Route to sales leader, finance, or procurement for sign-off.
  • 04
Send for Signature: Deliver to customer with clear acceptance instructions and expiry date.

How to Configure an Online Workflow for Revisions

Set up a repeatable digital workflow to minimize manual steps and improve traceability.

Conditional Pricing Use conditional fields to show revised totals only when applicable.

Where to Send the Revised Quote and Typical Routing

A clear routing path helps ensure approvals and traceable acceptance by all stakeholders.

  • Customer Contact: Send to the named buyer or procurement email on record.
  • Internal Approver: Route to finance or sales manager for authorization.
  • Accounting / AR: Notify accounts receivable after customer acceptance to update billing.
  • Records Archive: Store the executed revision in a secure document repository.

Technical Considerations for Digital Completion and Signing

Ensure the platform you choose can produce an audit trail, export signed PDFs, and connect to your document storage to maintain a single source of truth.

  • File Formats: PDF, DOCX, and XLSX are typically supported.
  • Integrations: CRM and ERP links: Salesforce, NetSuite, Microsoft 365.
  • Authentication: Email, SMS code, or advanced ID verification.

Typical Timelines and Expiry for Revised Quotes

Establish explicit submission and expiry dates to avoid confusion and preserve pricing expectations.

Revision Turnaround Time:

2–5 business days depending on complexity.

Customer Acceptance Window:

Commonly 15–30 days before prices expire.

Internal Approval SLA:

24–72 hours for finance and sales approvals.

Signature Completion Target:

Aim for final signature within 7 calendar days.

Archive After Execution:

Store executed copy immediately upon final signature.

Common Errors to Avoid

  • Failing to reference the original quote number, making it unclear which offer is being revised and causing reconciliation delays.
  • Using ambiguous descriptions such as 'additional work' without itemized costs, which can create scope disputes later.
  • Omitting an explicit expiry date, leaving pricing open to interpretation and potential client confusion.
  • Allowing unsigned or partially signed revisions to circulate; unsigned documents lack clear proof of mutual acceptance.

Potential Risks When a Revised Quote Is Incorrect

Contract Ambiguity: May permit disputes over deliverables.
Tax Exposure: Incorrect billing details can affect tax reporting.
Warranty Misstatement: Overstated warranties can create unexpected liabilities.
Invalid Signature: Weak authentication could impair enforceability.
Data Breach Risk: Improper file handling exposes customer data.
Late Performance: Missed timelines can trigger penalty clauses.
