What the Rock Selection Document Is and When It’s Used

A Rock Selection Document records the technical and commercial choices for stone materials used in construction, landscaping, or remediation projects. It specifies rock type, gradation, sizing, source/quarry, testing and acceptance criteria, quantities, delivery conditions, and supplier information. The document can serve as a contract attachment, bid exhibit, or procurement checklist and is commonly shared among project managers, geotechnical engineers, contractors, and suppliers. When executed correctly it reduces specification errors, supports quality control, and can be completed and retained electronically in compliance with U.S. e-signature law.

Why a Clear Rock Selection Document Matters

A well-structured Rock Selection Document reduces rework, prevents disputes, and clarifies acceptance criteria. Electronically signed versions are enforceable under the ESIGN Act (15 U.S.C. §7001) and applicable state UETA statutes where adopted, provided the transaction does not fall within statutory exceptions.

Why a Clear Rock Selection Document Matters

Who Typically Prepares and Approves This Document

Multiple roles collaborate on rock selection to align technical requirements with procurement and construction schedules.

  • Project Manager — Coordinates requirements, scheduling, and final acceptance of delivered materials.
  • Geotechnical Engineer — Specifies gradation, compaction, and testing requirements for structural suitability.
  • Procurement / Purchasing — Secures quotes, confirms supplier compliance, and manages delivery logistics.

Final approvers should be identified explicitly to avoid delays and to ensure signatory authority is available at execution.

Representative Signatory Profiles

Procurement Manager

A procurement manager reviews supplier terms, confirms pricing and delivery windows, and signs to authorize purchase orders. They must verify supplier insurance, certifications, and that the material meets the documented acceptance criteria before final approval.

Geotechnical Lead

A geotechnical lead defines material specifications and acceptance testing protocols, documents laboratory test results, and signs the technical acceptance section to certify compliance with project design requirements and applicable codes.

Core Data Fields to Include

Rock Type: Specify stone classification
Gradation/Size: Nominal sizes and sieve limits
Quantity: Tons, cubic yards, or units
Source / Quarry: Named origin and lot number
Supplier Contact: Company, rep, phone, email
Testing & Certs: Lab reports and compliance

Step-by-Step: Completing a Rock Selection Document

Follow a consistent sequence to gather specs, confirm samples, document approvals, and finalize signatures to keep procurement and construction schedules aligned.

  • 01
Collect Specifications: Compile design gradation, strength, and tolerance requirements.
  • 02
Inspect Samples: Verify sample appearance, gradation, and test certificates.
  • 03
Record Quantities: Enter required amounts with unit of measure and contingency.
  • 04
Approve and Sign: Get named approvers to sign in order with dates.

How to Configure an Online Rock Selection Workflow

Set up a reusable template to standardize fields, signer order, and verification steps for future projects.

Field Configuration
Template Name Use project code and material type
Signer Order Geotech → Procurement → Project Manager
Authentication Email link or SMS code
Reminders Auto-send after 3 and 7 days

Typical Electronic Routing for Approval and Recordkeeping

An electronic routing flow ensures each role sees only the fields they must review, captures timestamps, and archives a complete audit trail.

  • Upload Document: Save PDF/DOCX source to the platform
  • Add Fields: Place text, checkbox, date, and signature fields
  • Send to Reviewers: Assign signer emails and order
  • Complete & Archive: Capture final signed copy and audit record

Sharing, Formats, and Integration Considerations

Choose file formats and integrations that match your project management and storage systems to minimize manual transfers.

  • File Formats: PDF, DOCX, and Excel are supported
  • Integrations: Salesforce, NetSuite, Google Workspace
  • Storage: Box, Google Drive, or S3 folders

Typical Timelines and Processing Expectations

Define deadlines for sample review, supplier confirmation, approval, and delivery to avoid downstream schedule impacts.

Sample Review Window:

7 calendar days from sample receipt

Supplier Response:

14 calendar days for quote and availability

Technical Approval:

Approval within 10 business days after testing

Delivery Lead Time:

Specify estimated days from PO issuance

Retention for Records:

Keep final executed document per retention rules

Common Preparation Errors to Avoid

  • Using vague size descriptions like 'rocky mix' rather than specific gradation limits causes acceptance disputes and rework.
  • Failing to attach lab certificates or failing to reference sample lot numbers blocks technical approvals and may delay delivery.
  • Ignoring lead times or failing to align supplier availability with project milestones produces schedule and cost overruns.
  • Not identifying the authorized signers in advance results in execution delays and may cause contract compliance issues.

Consequences of an Incomplete or Incorrect Document

Project Delays: Change orders and schedule impact
Cost Overruns: Additional procurement and labor costs
Contract Disputes: Claims over acceptance or defects
Regulatory Noncompliance: Environmental or permitting risks
Warranty Issues: Voided supplier warranties
Payment Holds: Owner or lender may withhold funds
