What the Salesforce Audit Document Is and When It’s Used

A Salesforce Audit Document records the configuration, data access, integrations, and change history needed to evaluate compliance and operational risk in a Salesforce org. Typical contents include inventory of objects and fields, user and permission reviews, integration endpoints, data retention settings, and a log of recent administrative changes. Organizations use this document to support internal audits, vendor reviews, M&A diligence, regulatory examinations, and periodic security assessments of CRM data handling and access controls.

Why a Structured Audit Document Matters

A clear Salesforce Audit Document consolidates technical and procedural evidence, shortens review cycles, and helps demonstrate compliance with ESIGN, UETA, HIPAA, and financial recordkeeping rules when Salesforce stores regulated data.

Why a Structured Audit Document Matters

Who Prepares and Relies on a Salesforce Audit Document

The document helps cross-functional teams share a single authoritative snapshot of the Salesforce environment for audits and decision-making.

  • IT and Salesforce Admins responsible for org configuration, change logs, and integration details used during technical reviews.
  • Compliance and Legal teams validating retention, access controls, and evidence for regulatory audits and vendor assessments.
  • Audit, Risk, and External Reviewers assessing segregation of duties, privileged access, and remediation status.

Core Components to Include in a Professional Salesforce Audit Document

A professional document groups technical inventory, access controls, data flow mapping, change history, findings, and remediation plans for easy review by auditors and stakeholders.

Org Inventory

List core orgs, sandboxes, and instances plus installed packages and API endpoints with versions and owners for traceability.

Data Schema

Catalog custom objects and key fields, sensitive data columns (PII/PHI), and field-level encryption or masking configurations.

Access Controls

Document profiles, permission sets, role hierarchy, sharing rules, and any privileged accounts with last-used timestamps.

Integrations

Record third-party integrations, inbound/outbound APIs, OAuth clients, middleware, and data transfer frequency and security settings.

Change Log

Summarize recent admin changes, deployments, schema edits, and the identity of users who executed key configuration actions.

Findings & Remediation

Provide prioritized issues, risk ratings, corrective actions, owners, and target completion dates for remediation tracking.

Step-by-Step: How to Build the Salesforce Audit Document

Follow this sequence to gather evidence, confirm accuracy, and present findings in an audit-ready format.

  • 01
Scope and Objectives: Define systems, timeframes, and compliance goals.
  • 02
Export Inventory: Extract object, field, user, and permission lists.
  • 03
Collect Logs: Pull setup audit trail, login history, and API logs.
  • 04
Document Findings: Summarize issues and assign remediation owners.

How to Customize and Complete the Document Online

Configure your digital workflow to capture fields, enforce required inputs, and route the document for review.

Field Configuration
Required Fields Enable validation for Org Name, Audit Period, and Primary Contact
Conditional Sections Show integration details only when external APIs are present
Reviewer Routing Route sequentially to IT, Compliance, and Legal reviewers
Audit Trail Enable immutable timestamps and actor logging

Where to File, Send, and Store the Completed Audit Document

Determine authoritative storage and circulation paths to retain evidence and meet internal control requirements.

  • Internal Repository: Store final PDF in corporate document management system
  • Compliance Archive: Retain a copy in compliance vault with restricted access
  • External Review: Share read-only copies with auditors or regulators
  • Backup Retention: Keep tamper-evident copy offsite for legal holds

Digital Signing, eSubmission, and Integration Considerations

Ensure chosen tools meet compliance needs (HIPAA BAA if PHI present) and preserve a detailed audit trail for legal admissibility.

  • Key Integrations: Salesforce | NetSuite | Google Workspace | Microsoft 365
  • Document Formats: PDF | DOCX | XLSX
  • Security Standards: TLS, AES-256 encryption

Evidence Collection Deadline:

2–4 weeks from audit start depending on scope

Internal Review Window:

5–10 business days after compilation

Final Report Distribution:

Within 15 business days of review completion

Remediation Target:

Common Mistakes When Preparing a Salesforce Audit Document

  • Incomplete object and field inventories that omit custom fields or managed-package fields, leading to missed sensitive data exposures.
  • Failing to capture recent deployments or configuration changes, which causes stale evidence and inaccurate conclusions.
  • Not documenting delegated integrations and service accounts, resulting in overlooked privileged API keys or stale OAuth tokens.
  • Providing screenshots instead of exportable logs and CSVs, which increases reviewer effort and reduces reproducibility.

Penalties and Risks From an Incomplete or Incorrect Audit Document

Regulatory Exposure: Fines or enforcement actions
Data Breach Risk: Undetected privileged access
Contractual Liability: Breach of vendor agreements
Operational Disruption: Delayed remediation
Audit Qualification: Negative auditor opinion
Tax/Recordkeeping: Noncompliance with retention rules

How Organizations Use a Salesforce Audit Document: Real-World Examples

These examples show how different teams applied a structured audit document to solve specific problems and improve clarity.

Optica Ventures

Optica standardized export templates for object inventories to reduce manual effort.

  • Integration mapping clarified ownership for each endpoint.
  • As a result, Optica shortened audit response time and improved reviewer confidence during vendor and investor diligence.

Fertility Centers of Illinois

The team documented PHI locations and access logs to support HIPAA reviews.

  • They recorded BAA status for third parties.
  • This approach enabled smoother compliance reviews and created a reusable package for future audits and incident response.

Security and Compliance Facts to Record in the Audit Document

Encryption: TLS 1.2/1.3 in transit; AES-256 at rest
Certifications: SOC 2 Type II, ISO 27001, PCI DSS
HIPAA: BAA required if PHI is stored or processed
Audit Trail: Immutable timestamps and actor IDs
Access Authentication: MFA and SSO recommended
Retention: Document retention rules and legal holds
