What the Security Administration Manual for Sharepoint Is and Covers

The Security Administration Manual for Sharepoint is a structured operational document that defines account roles, permission models, configuration baselines, and procedural controls for SharePoint environments. It consolidates technical settings (site collection permissions, sharing policies, conditional access), administrative responsibilities (site owners, global admins, compliance officers), and incident response steps into a single reference. The manual supports auditability and reproducibility by specifying versioning, approval workflows, and retention requirements so that security configuration decisions are documented, defensible, and repeatable across projects and tenant changes.

Why a Dedicated Security Administration Manual Matters

A dedicated manual reduces configuration drift, clarifies authority for access changes, and documents controls required for regulatory compliance such as HIPAA and ESIGN/UETA expectations. It centralizes decisions so audits and incident reviews can reference a single source of truth, improving accountability and reducing misconfigurations that cause data exposure or operational disruption.

Why a Dedicated Security Administration Manual Matters

Who Should Maintain and Use This Manual

Typical stakeholders who create, approve, and follow the manual include IT security teams, SharePoint administrators, compliance officers, and business unit site owners.

  • SharePoint administrators responsible for site provisioning, permission changes, and tenant-level settings.
  • Information security and compliance staff who map controls to HIPAA, SOX, or internal policies.
  • Business unit owners and application managers who need clear rules for external sharing and data classification.

When these groups collaborate on the manual, organizations reduce ambiguity about privileges and ensure operational tasks align with legal and retention obligations.

Core Sections to Include in a Professional Manual

A comprehensive Security Administration Manual for Sharepoint groups related content into clear sections so readers can find operational steps and policy references quickly.

Access Model

Define tenant roles, least-privilege role mappings, access request procedures, and approval authorities to ensure consistent permissions across sites and groups.

Sharing & External Access

Specify allowed external sharing types, domain restrictions, expiration policies, and monitoring steps to manage guest access risks and regulatory exposure.

Data Classification

Describe classification labels, handling rules for confidential data, and mandatory encryption or DLP policies applied to labeled content.

Audit & Logging

List required audit logs, retention settings, alert thresholds, and procedures to collect evidence for security incidents and compliance reviews.

Configuration Baselines

Document baseline tenant and site settings, approved app sources, conditional access profiles, and approved third-party integrations.

Incident Response

Provide step-by-step triage, containment, notification roles, and post-incident review requirements to restore secure operations and meet reporting obligations.

Step-by-Step: Creating and Approving the Manual

Follow these sequential steps to create, validate, and publish the manual while preserving an audit trail.

  • 01
Draft: Collect existing policies and map to SharePoint features; document default settings.
  • 02
Stakeholder Review: Circulate to IT security, compliance, and business owners for comments and acceptance.
  • 03
Approval: Obtain written approval from designated authority and record name and date.
  • 04
Publish: Store the approved manual in a controlled SharePoint library with versioning and restricted edit rights.

How to Configure an Electronic Review and Approval Workflow

Map the review workflow into your eSignature or approval tool so sign-offs are tracked and auditable.

Field Configuration
Initiator Site owner starts the workflow
Reviewer IT security and compliance reviewers in parallel
Approver Designated approving authority signs in order
Retention Completed approval package retained with versioned manual

Digital Signing, Storage, and Integration Considerations

Determine required platform capabilities before enabling e-signature or automated approval workflows for manual sign-off.

  • Formats: PDF, DOCX support
  • Authentication: Email, SMS, or advanced 2FA
  • Integrations: Microsoft 365 and Azure AD

Confirm the chosen tool supports audit trails, retention export, and integrations with Microsoft 365 to store signed manuals in a controlled library.

Distribution and Change Control Workflow

Use a clear routing path so reviewers and approvers receive and acknowledge changes in a consistent order.

  • Upload: Place draft in controlled library with restricted edits.
  • Notify: Trigger reviewer notifications via email or Teams.
  • Sign: Approver eSigns the final version and timestamps approval.
  • Archive: Archive signed manual and preserve audit trail for retention.

Key Dates: Review, Renewal, and Audit Windows

Schedule recurring reviews and align manual updates with audit and compliance cycles to avoid gaps between policy and configuration.

Annual Review:

Conduct a full policy review once every 12 months.

Interim Updates:

Apply urgent patches or policy changes within 30 days of approval.

Audit Prep:

Begin audit evidence collection 60 days before scheduled audit.

Retention Check:

Verify retention rules during each review cycle.

Access Certification:

Perform access recertification at least annually for privileged accounts.

Common Preparation Pitfalls to Avoid

  • Omitting explicit role assignments, which leads to emergency or ad hoc permission grants that are hard to trace and audit.
  • Failing to define external sharing boundaries, resulting in guest accounts with broader access than intended and potential data leakage.
  • Not aligning retention clauses with legal or regulatory requirements, causing premature deletion or excessive retention exposure.
  • Using ambiguous language for escalation paths, which delays incident response and complicates regulatory reporting obligations.

Consequences of an Incomplete or Incorrect Manual

Compliance Violations: Regulatory fines
Data Breach: Loss of confidentiality
Audit Failure: Remediation orders
Operational Downtime: Service disruption
Legal Exposure: Civil liability
Reputational Harm: Customer trust loss

Essential Security and Configuration Data to Record

Admin Roster: Names and roles
Permission Matrix: Role-to-right mapping
Sharing Policy: Guest rules
DLP Rules: Policy IDs
Logging: Audit settings
Retention: Retention labels
