What a Security Service Quotation Is and Why It Matters

A Security Service Quotation is a written estimate that describes proposed security services, staffing, equipment, schedules, and costs for a defined site or period. It typically itemizes labor rates, shift lengths, supervisory coverage, equipment rental or purchase, and any one-time setup fees, and it states terms for acceptance, validity period, and invoicing. The quotation is an offer to contract but usually becomes legally binding only after acceptance and execution by authorized parties. Electronic transmission and signatures are commonly used and are governed by federal and state e-signature laws.

Why a Clear Quotation Protects Both Parties

A precise quotation reduces misunderstandings about scope, timing, and price while creating a record for procurement and compliance.

Why a Clear Quotation Protects Both Parties

Who Typically Prepares and Reviews This Quotation

The document is prepared by security providers and reviewed by facility, procurement, or risk teams before award.

  • Security service providers and estimators who assemble scope, personnel, and pricing for client proposals.
  • Facilities managers and site supervisors who verify site access, special requirements, and shift coverage details.
  • Procurement officers, risk managers, or general counsel who review terms, insurance, and compliance elements.

Final approval commonly requires sign-off by a designated purchasing authority or authorized representative.

  • Underspecifying site access and keys can cause delays and increased costs when personnel arrive on site unprepared.
  • Failing to list insurance minimums or exclusions can result in rejected proposals during vendor vetting.
  • Using ambiguous rate tables without overtime or holiday rules leads to disputes over final invoices and payroll.
  • Not including an acceptance method and authorized signatory can prevent the quotation from turning into a binding agreement.

Risks and Consequences of an Incorrect or Incomplete Quotation

Contract Disputes: Increased litigation risk
Project Delays: Mobilization postponed
Payment Withholding: Invoices may be disputed
Insurance Gaps: Claims denied
Regulatory Noncompliance: Licensing fines possible
Tax Reporting Errors: Incorrect vendor classification
