What a Service Elevator Request Is

A Service Elevator Request is a formal submission used to reserve a building's service elevator for moves, deliveries, or equipment transport. It documents requested date and time, load specifications, protection measures, insurance proof, and point-of-contact details so building operations can schedule, staff, and prepare the elevator. The form creates an auditable trail for approvals, conditional use (weight, size, hours), and any required building fees or deposits. Many property managers require a completed request before granting access to minimize risk and coordinate with other tenants and building services.

Why Completing a Service Elevator Request Matters

Completing the request protects both the building and the party using the elevator by documenting responsibilities, scheduling conflicts, and proof of insurance. It reduces operational disruptions and clarifies cost and damage liability before the move or delivery occurs.

Why Completing a Service Elevator Request Matters

Who Typically Submits and Reviews These Requests

Several roles interact with a Service Elevator Request depending on the property type and scope of the activity.

  • Building Manager or Facilities Team — Reviews availability, confirms building rules, and authorizes or schedules the elevator reservation with necessary staff.
  • Contractor, Mover, or Vendor — Provides move details, protection plans, and proof of insurance; responsible for complying with building procedures.
  • Tenant or Resident Requestor — Submits the request and coordinates timing with movers and building staff to avoid conflicts.

Clear role separation ensures fast approvals and reduces the chance of access denial or damage disputes during use.

Essential Elements of a Professional Request

A complete Service Elevator Request contains standardized fields so building staff can evaluate impact, confirm safety, and document approvals quickly.

Reservation Details

Requested date, start and end times, and alternate windows for scheduling flexibility and conflict resolution.

Load Specifications

Weight, dimensions, number of trips, and whether the load requires stretcher mode or special handling.

Protection Plan

Materials and methods to protect elevator interior, doors, and lobbies; includes padding and floor covers.

Insurance Evidence

Certificate of insurance with coverage limits and endorsement showing building as additional insured when required.

Contacts

Primary on-site contact, mover representative, emergency phone numbers, and building operations contact details.

Approval Block

Signature, date, and conditional notes from building operations confirming the reservation and any fees or deposits.

Step-by-Step: Submitting a Service Elevator Request

Follow these steps to complete and submit a request that building staff can process without additional clarification.

  • 01
Prepare Request: Collect move details, weight/dimensions, insurance, and contact information.
  • 02
Complete Form: Enter all required fields and attach supporting documents in the specified formats.
  • 03
Submit for Review: Send to building operations or property manager and confirm receipt.
  • 04
Receive Confirmation: Obtain written approval, assigned time slot, and any conditional instructions.

Configuring an Online Request Workflow

When automating requests, configure fields and approvals to match building policy and reduce manual processing.

Field Configuration
Notification Email to operations and tenant on submission
Authentication Email verification or SMS code for requestor
Approval Routing Route to facilities manager then building engineer
Time Slots Enable selectable windows with conflicts blocked

Where the Request Goes After Submission

Understanding routing clarifies who acts and when — automation reduces turnaround time and manual handoffs.

  • Upload Request: Submit form and attachments through the building portal or email.
  • Assign Reviewer: Facilities or property manager receives and checks requirements.
  • Approve Reservation: Operations confirms slot, staff, and any fees or conditions.
  • Confirm to Parties: All parties receive confirmation and instructions for move day.

Digital Submission and eSignature Considerations

Use a secure platform that preserves attachments, timestamps, and an audit trail for each request.

  • File Types: PDF, DOCX, JPG
  • Authentication: Email or SMS code
  • Audit Trail: Timestamped record

Typical Timing and Deadlines to Expect

Timelines vary by building, size of move, and tenant rules; confirm lead times and cancellation windows when submitting.

Advance Notice Recommended:

48–72 hours for standard moves

Large or Complex Moves:

At least 7 business days' notice

Insurance Documents Due:

48 hours prior to scheduled move

Permit or Special Approval:

5 business days or longer

Cancellation Window:

24–48 hours before reserved slot

Key Milestones in the Reservation Lifecycle

The process typically moves through these numbered stages from submission to post-move reconciliation.

01

1. Request Submitted

Form and attachments received by building operations for initial review.

02

2. Review and Risk Check

Facilities verify dimensions, load limits, insurance, and protection plan.

03

3. Reservation Confirmed

Slot assigned with conditions and fee details if applicable.

04

4. Move Day and Closeout

Supervisor inspects after use and documents any damage or fees.

Common Mistakes That Delay Approval

  • Submitting incomplete load dimensions or weights, which prevents staff from confirming elevator capacity and safety.
  • Failing to provide a valid certificate of insurance naming the building as additional insured when required, which can halt approval.
  • Not specifying protection measures or using improper materials that expose elevator finishes to damage and possible fines.
  • Requesting peak or restricted hours without coordinating building staff or paying applicable overtime fees.

Potential Penalties and Operational Risks

Access Denial: Reservation denied
Damage Charges: Repair costs billed
Fines: Monetary penalties assessed
Scheduling Fees: Overtime or rebooking fees
Liability Exposure: Third-party claims possible
Insurance Impacts: Policy endorsement required

Supporting Documents Commonly Required

Attach these documents to avoid processing delays and to demonstrate compliance with building policies.

Certificate of Insurance

General liability insurance certificate showing coverage limits and any required endorsement naming the building as additional insured.

Mover License

Proof that the moving company is licensed and bonded as required by local regulations or building policy.

Protection Plan

Detailed plan for elevator and lobby protection, padding materials, and personnel responsible for installation and removal.

Deposit Receipt

Proof of payment for any required move deposit or damage hold requested by building management.

Who Can Sign the Request

Building Manager

The building manager or authorized facilities representative signs to confirm approval, note conditions, and record any fees or deposit requirements. Their signature binds the building to the reserved slot and any operational accommodations.

Contractor Representative

An authorized mover or contractor representative signs to acknowledge acceptance of protection measures, liability for damage, and adherence to scheduled times. This signature often accompanies insurance attestation.
