What the Shipping Analysis Report Is and When It’s Used

A Shipping Analysis Report documents the movement, costs, delays, and compliance status of a shipment or set of shipments. It typically summarizes origin and destination data, carrier performance, transit times, tariff and duty impacts, damage or loss incidents, and cost allocations by SKU or order. Organizations use the report for dispute resolution, carrier selection, cost recovery, and operational improvement. When combined with audit evidence—bills of lading, customs filings, and delivery confirmations—the report supports internal controls and external claims with objective metrics and supporting documentation.

Why a Shipping Analysis Report Matters for Operations and Compliance

A clear Shipping Analysis Report provides an auditable record of what occurred during transit, highlights systemic delays or cost drivers, and establishes facts needed for carrier claims or customs remediation. It supports cost allocation, service-level measurement, and regulatory compliance without relying on fragmented spreadsheets or anecdotal evidence.

Why a Shipping Analysis Report Matters for Operations and Compliance

Typical Users and Stakeholders

Teams that prepare, review, or rely on Shipping Analysis Reports include logistics managers, finance and billing teams, compliance officers, and customer service representatives.

  • Logistics Managers responsible for carrier performance, routing, and on-time delivery metrics across lanes.
  • Finance and Billing teams that allocate freight charges, reconcile carrier invoices, and pursue recoveries.
  • Compliance and Customs who need documentation for duty assessments, ISF entries, or audit responses.

Reports are shared with carriers, customs brokers, insurance adjusters, and executive sponsors to resolve issues and guide process improvements.

Core Sections of a Professional Shipping Analysis Report

A complete report is structured for clarity: executive summary, shipment-level data, variance analysis, root-cause findings, cost reconciliation, and recommended actions.

Executive Summary

One-page synopsis of findings and financial impact, including key KPIs and any immediate actions required by stakeholders.

Shipment Data

Line-level details for each shipment: dates, carrier, mode, tracking numbers, weights, SKUs, and declared values for customs.

Performance Metrics

Transit times, on-time delivery percentage, carrier SLA compliance, dwell time, and damage/loss rates with comparisons to baseline targets.

Cost Reconciliation

Breakdown of freight, accessorials, duties, taxes, demurrage, and chargebacks with calculations showing invoice vs. audited amounts.

Root-Cause Analysis

Documented causes for delays or overcharges, supported by timestamps, communications, and carrier notes where available.

Recommendations

Operational or contractual changes, carrier performance remediation, and next steps for claims, refund requests, or tariff strategy adjustments.

Step-by-Step: Prepare and Complete the Report

Follow a logical sequence from data collection through review and distribution to ensure accuracy and traceability.

  • 01
Collect Data: Download carrier manifests, PODs, customs entries, and invoice files for the reporting period.
  • 02
Normalize Records: Map fields to the report template, standardize dates and SKUs, and remove duplicates.
  • 03
Analyze Variances: Compare billed vs. contracted rates, calculate service-level deviations, and quantify financial impact.
  • 04
Review and Sign: Route the draft to finance and operations for approval before finalizing the report and attaching evidence.

How to Configure an Online Workflow for the Report

A standardized workflow reduces manual handoffs and maintains an audit trail for each review and approval step.

Field Configuration
Data Upload Allow CSV and PDF uploads; enable auto-parsing of common carrier fields.
Approval Sequence Set role-based order: Preparer → Logistics Lead → Finance Reviewer → Compliance.
Authentication Require email verification and optional SMS code for external approvers.
Archival Save final report as PDF/A with embedded audit trail and attachments.

Routing and Submission Process

Define clear destinations and responsibilities to ensure the report reaches internal and external recipients in a timely, auditable manner.

  • Internal Review: Preparer shares draft with logistics and finance for validation and dispute identification.
  • Carrier Claim: If overcharge or damage is found, package the report and evidence to submit to carrier claims.
  • Insurance Notice: Submit findings and proofs to insurers when loss or damage exceeds deductibles.
  • Executive Brief: Deliver an executive summary to sponsors summarizing financial impact and recommended next steps.

Digital Delivery and eSubmission Requirements

Use platforms that preserve tamper-evident copies and provide exportable audit trails to support claims and audits.

  • File Formats: PDF, DOCX, CSV accepted for source files and final reports.
  • Authentication: Email verification or SMS code recommended for external signers.
  • Integrations: Connectors to ERP, TMS, and cloud storage speed routing and archival.

Timelines to Keep in Mind

Several time limits affect filing claims, submitting corrections, and preserving evidence; track these to avoid forfeiting remedies.

Carrier Claim Window:

File damage or loss claims per carrier rules—often 7 to 90 days depending on mode.

Invoice Dispute:

Submit disputed freight invoices promptly; common commercial terms require dispute within 30 days.

Customs Amendments:

Correct customs entries or request post-summary corrections per CBP timelines.

Insurance Notice:

Notify cargo insurance as soon as loss is discovered to preserve coverage.

Record Retention:

Keep supporting documents per applicable retention schedules (see retention timeline).

Common Mistakes to Avoid When Preparing the Report

  • Incomplete supporting evidence such as missing Bills of Lading, proof of delivery, or carrier communications undermines claims and prolongs resolution.
  • Using inconsistent identifiers—different order numbers or SKU codes—prevents reliable matching between invoices, shipments, and financial records.
  • Combining disparate charge types into single totals hides accessorials and undermines precise cost recovery or refund calculations.
  • Failing to timestamp and preserve digital audit trails can make it difficult to prove sequence of events or signer attribution during disputes.

Regulatory and Financial Risks of an Incorrect Report

Financial Exposure: Understated costs increase loss; overstated costs risk reputational damage.
Customs Penalty: Incorrect customs data can trigger penalties and interest.
Contract Breach: Misstated SLAs may trigger contract penalties.
Claim Forfeiture: Late claims may be barred under carrier rules.
Audit Risk: Poor records increase audit findings.
Legal Exposure: Inaccurate reports can complicate litigation or arbitration.
