What the Shipping Method Letter Is and when it’s used

A Shipping Method Letter is a formal written instruction specifying how goods should be transported, who arranges carriage, and which party bears shipping costs and risk during transit. It clarifies carrier choice, shipment terms (air, ocean, ground), packaging and labeling expectations, delivery address, and incoterms or payment terms where applicable. Organizations use this letter to align procurement, logistics, and accounts payable teams, reduce delivery errors, and document responsibility for freight, insurance, and customs. While not a replacement for a bill of lading, it informs carriers and vendors and supports claims when shipments deviate from agreed terms.

Why a clear Shipping Method Letter matters

A concise Shipping Method Letter reduces ambiguity about carrier selection, liability, and timing, lowering the risk of delays, additional charges, and disputed claims. It creates a written record useful for customs compliance, carrier claims, and internal audit trails while supporting consistent workflow across procurement, warehouse, and finance teams.

Why a clear Shipping Method Letter matters

Typical users and stakeholders for this letter

Keep the letter accessible to all stakeholders and attach it to the purchase order, packing list, and shipping documents to preserve a consistent record.

  • Logistics managers and shipping coordinators who specify carriers, routing, and packaging details.
  • Procurement and purchasing agents who include shipping instructions in purchase orders and supplier communications.
  • Accounts payable and trade compliance teams who need documented shipment terms for invoicing and customs clearance.

Core elements every professional Shipping Method Letter should include

A complete Shipping Method Letter combines contact, routing, and legal detail so carriers and vendors understand obligations. The following elements form the typical structure and minimize downstream disputes.

Shipper and Consignee

Full legal names and addresses for both shipper and consignee, including contact person, phone, and email for day-of-shipment coordination and claims.

Specify chosen carrier(s), service level (e.g., LTL, FTL, expedited air), and preferred routing or transit mode to ensure consistent pickup and delivery.

Incoterms and Payment

List package counts, dimensions, weights, hazardous material designation if any, and required labeling or palletization instructions.

Delivery Instructions

Provide exact delivery address, receiving hours, appointment requirements, liftgate or inside delivery needs, and any access codes.
