What the Shipping Print Label Is and when it’s used

A Shipping Print Label is the printed element affixed to a parcel that conveys delivery routing, recipient and sender details, carrier service, and barcoded tracking data. It typically includes the recipient name and address, return address, service level (e.g., ground, expedited), package weight and dimensions, and a scannable barcode or QR code used by carriers for automated sorting. Shipping labels may be generated from carrier portals, fulfillment systems, or integrated e-commerce platforms and are required to move goods through carrier networks reliably.

Why a correct Shipping Print Label matters

Accurate labels reduce delivery errors, speed sorting, protect insurance eligibility, and ensure regulatory compliance for cross-border shipments.

Why a correct Shipping Print Label matters

Typical users and teams that prepare shipping labels

Teams that routinely create shipping labels include e-commerce sellers, warehouse staff, and carrier operations teams; each has different volume and automation needs.

  • E-commerce sellers and marketplace merchants who print single or batch labels for customer orders.
  • Fulfillment centers and warehouses that generate high-volume labels via batch or API-driven workflows.
  • Small businesses and retailers using desktop printers or carrier apps for occasional shipments.

Understanding who completes labels helps determine required integrations, authentication, and quality controls.

Step-by-step: Create and print a Shipping Print Label

Follow these steps to ensure a legible, compliant label that carriers will accept and scan without delay.

  • 01
Prepare order: Confirm recipient details, weight, and declared value before label generation.
  • 02
Select carrier: Choose service level and any required customs or insurance options.
  • 03
Generate label: Use carrier portal, fulfillment software, or API to create a printable PDF or ZPL file.
  • 04
Print & affix: Print on thermal or adhesive stock; affix flat and free of creases or tape over barcode.

Key components to include on a professional shipping label

A clear shipping label contains structured data for human reading and machine scanning; include these elements consistently to reduce exceptions.

Recipient Block

Full name or company, delivery street address, city, state, and ZIP. Include secondary address information such as suite or unit.

Return Block

Sender name and return address. Required for undeliverable shipments and carrier liability purposes.

Service & Routing

Carrier name and service level code to route correctly through the carrier network and apply correct transit times.

Weight and Dimensions

Package weight and dimensions printed for carrier verification and to support automated handling.

Barcode / Tracking

Scannable barcode (or QR) with the tracking number for automated sorting and real-time tracking.

Regulatory Data

Customs declaration, commodity description, or dangerous goods indicators when required for international or hazardous shipments.

Required data fields at a glance

Recipient: Full name or company
Delivery Address: Street, city, state, ZIP
Sender: Name and return address
Weight: Pounds and ounces
Service: Carrier and service level
Barcode: Scannable tracking identifier

Where labels go and how carriers use them

Labels move with the parcel and feed carrier automation; understand routing, verification points, and final delivery stages.

  • Fulfillment System: Generate and batch-print labels for outbound orders.
  • Carrier Drop-off: Provide printed label at the carrier counter or scan at pick-up.
  • Carrier Sortation: Barcode scans direct automated routing in sorting facilities.
  • Delivery Scan: Final scan records proof of delivery and timestamp.

Digital signing and platform considerations for label workflows

Choose software that supports PDF/PNG/ZPL export, integrates with shipping carriers, and can place barcodes and address blocks accurately.

  • File formats: PDF, PNG, ZPL supported
  • Integrations: Salesforce, NetSuite, Google Workspace
  • Printer support: Thermal and laser printers

Common configuration settings for online label creation

Configure these fields in your label generator or integration to match carrier and internal requirements.

Field Configuration
Auto-detect addresses Enable address parsing and validation
Barcode placement Set barcode zone and quiet zone margins
Service mapping Map internal service codes to carrier rates
Print template Use carrier-compliant artwork and size

Common mistakes when preparing Shipping Print Labels

  • Incorrect or incomplete addresses that cause delivery exceptions and manual rerouting by carriers.
  • Covering or creasing the barcode with tape or packaging that prevents automated scanning and delays processing.
  • Using P.O. boxes for services that require a street address, causing carrier refusal or returned shipments.
  • Mismatched weight/dimensions leading to additional charges, re-rating, or carrier refusal at tender.

Risks and potential consequences of an incorrect label

Delivery Delay: Missed delivery windows
Return to Sender: Additional return shipping costs
Lost Coverage: Insurance claim denial
Customs Fines: Penalties for false declarations
Carrier Chargebacks: Re-rating and surcharge fees
Customer Impact: Negative service experience
