Common mistakes that slow processing

  • Typing transit numbers incorrectly or truncating long identifiers, causing mismatches in carrier systems and failed tracking lookups.
  • Omitting supporting documents such as the bill of lading or customs paperwork, which leads to clearance delays and additional document requests.
  • Using inconsistent party names (trade name vs legal name), which complicates claims, billing reconciliation, and contract enforcement.
  • Failing to capture the shipment date in MM/DD/YYYY format, creating ambiguity for liability windows and insurance effective dates.

Typical timing and deadlines linked to transit numbers

Certain downstream processes use the shipment date and transit number to trigger billing, customs filings, and claims windows.

Provide on request:

Transit numbers provided to payers or brokers upon request; no fixed federal deadline
