Practical Tips to Reduce Errors and Speed Processing

Adopt these practices to improve accuracy, speed, and audit readiness when handling SIMPLE IRA Contribution Forms.

Verify participant identifiers
Confirm the Social Security number and full legal name against employer records and the participant’s ID before submitting. Early verification prevents backup withholding, mismatches on custodian accounts, and delays in tax reporting.
Remit funds promptly
Establish internal deadlines aligned with payroll cycles and custodian instructions. Prompt remittance reduces the risk of late deposit disputes and supports correct posting to participant accounts.
Use secure e-signatures
When using electronic signatures, ensure the platform documents intent, consent, and attribution consistent with the ESIGN Act (15 U.S.C. ch. 96) and UETA, retaining a complete audit trail for defensibility.
Keep synchronized records
Retain employer copies, payroll records, and custodian confirmations together. Reconcile contributions regularly and address any discrepancies immediately to limit exposure during audits.
