What the Software as a Service Order Form Is

A Software as a Service Order Form is a transactional document that records the purchase terms for cloud-based software, including parties, subscription tier, billing schedule, license counts, term, renewal mechanics, and payment method. It supplements a master subscription agreement or SaaS contract by capturing product-specific configurations, quantities, pricing, and startup or implementation fees. The form frequently includes acceptance criteria, service-level commitments referenced by the master agreement, and signature blocks for authorized buyer and seller representatives to confirm the commercial terms that will govern access to the software.

Why a Clear Order Form Matters

A precise order form reduces ambiguity about billing, term length, and permitted users, helping prevent disputes and billing errors. It creates a single source of truth that streamlines onboarding, invoicing, and renewals while aligning expectations between procurement, legal, and operations.

Why a Clear Order Form Matters

Who Typically Prepares and Signs This Form

The order form is usually prepared by vendor sales or contracts teams and reviewed by the customer’s procurement, legal, and finance functions before signature.

  • Vendor Sales and Contracts: Drafts pricing, product options, and implementation fees, and coordinates internal approvals.
  • Customer Procurement and Finance: Verifies pricing, payment terms, and PO alignment with corporate purchasing policies.
  • Customer Legal and IT: Confirms that the order form references the correct master agreement and technical onboarding requirements.

Final signature authority typically rests with designated signatories in legal or finance depending on contract value and internal delegation rules.

Step-by-step: completing a SaaS order form

Follow these sequential steps to prepare, review, and finalize the order form so it aligns with the master subscription agreement and internal approvals.

  • 01
Draft Commercial Terms: Populate SKU, seat count, price, fees, and term.
  • 02
Link Agreement: Reference the master subscription agreement or attach it.
  • 03
Obtain Approvals: Route to procurement, finance, and legal for sign-off.
  • 04
Execute and Distribute: Sign, return countersigned copy, and store final executed document.

How to set up an online order form workflow

Configure digital fields and routing to match internal approval gates and required signer authentication.

Field Configuration
Price Table Lock fields after approval to prevent post-signing edits
Signer Order Set role-based sequential routing when approvals are required
Authentication Use email + SMS code or stronger KBA for high-value transactions
Audit Trail Capture timestamps, IP addresses, and signer actions

Digital signing and integrations to consider

Choose a platform that supports your integrations, authentication needs, and document formats before publishing the form.

  • Integrations: Salesforce, NetSuite, Microsoft 365
  • Formats: PDF, DOCX, HTML
  • Security: AES-256 encryption, TLS in transit

Ensure connectors and API access are provisioned for your CRM/ERP to automate order creation and invoice reconciliation.

Typical online ordering flow

A consistent digital ordering flow reduces manual steps and speeds activation for buyers and sellers.

  • Create Order: Populate product SKUs and quantities in the form
  • Attach Agreement: Reference or attach the governing master agreement
  • Route for Approval: Send to procurement, legal, finance as required
  • Sign and Confirm: Execute signatures and notify internal teams

  • Unsigned or improperly dated forms that raise enforceability or renewal disputes.

Consequences of errors or missing information

Billing Disputes: Delayed revenue recognition
Tax Issues: Incorrect reporting obligations
Noncompliance: Breach of SLAs and potential credits
Payment Delays: Cash flow interruptions
Contract Ambiguity: Legal disputes over scope
Invalid Signature: Challenges to enforceability
