Practical tips for accurate and efficient completion

Adopt consistent practices across procurements to reduce exceptions, speed approvals, and make audits straightforward.

Confirm signatory authority
Verify that the person signing has authority to bind the organization before execution. Maintain a delegation-of-authority roster and require supporting corporate resolution for high-value contracts to prevent later disputes.
Standardize schedules and exhibits
Use standard technical and pricing exhibits across contracts. Attach measurable acceptance tests and delivery milestones to limit ambiguity and decrease the need for bespoke negotiation on routine procurements.
Use consistent date formats
Adopt MM/DD/YYYY across documents and digital forms. Consistent dates eliminate confusion about milestone timing, payment due dates, and notice periods when multiple jurisdictions are involved.
Preserve the audit trail
When signing electronically, retain platform-generated audit logs showing timestamps, IP addresses, and signer authentication method to support enforceability and internal audit requirements.
