Line Items

Lists each SKU with an item description, unit price if applicable, quantity, and any special customization or embroidery information required for fulfillment accuracy.

Sizing Chart

Includes vendor-specific sizing guide and a per-line size selection to prevent returns caused by incorrect assumptions about fit or measurement units.

Payment Terms

Specifies net terms, deposit requirements, or card payment instructions to avoid production holds when payment details are missing or incomplete.

Shipping Instructions

States preferred carrier, delivery window, and any liftgate or appointment needs so logistics teams can provide accurate shipping quotes and avoid delivery exceptions.

Authorization

Contains signature, printed name, title, and date to verify who approved the order and to provide an audit trail for disputes or compliance reviews.

Common Errors That Cause Delays or Rejections

  • Submitting incomplete shipping addresses or P.O. boxes for bulk deliveries, which can cause carrier rejections and rescheduling fees.
  • Providing inconsistent size codes or failing to reference the vendor sizing chart, leading to incorrect production and costly returns.
  • Omitting the purchase order number or payment terms, which often places orders on hold until finance confirms approval.
  • Using unsigned or undated authorization blocks, creating disputes about who approved the order and when it was authorized.

Typical Timing, Cutoffs, and Processing Expectations

Order timing affects production and delivery; vendors publish cutoffs for seasonal runs and typical lead times depend on quantity and customization.

Order Cutoff for Spring Delivery:

Submit before vendor seasonal cutoff; typical bulk lead time is 4–6 weeks.

Size Change Window:

Changes accepted within 48–72 hours of order confirmation, depending on production stage.

Payment Due Date:

Follow vendor terms; deposits may be required before production begins.

Estimated Fulfillment Time:

Standard fulfillment ranges from 2–6 weeks after payment confirmation for customized items.

Return Request Window:

Report defects within 7–14 days of receipt to qualify for repair or replacement.

Operational and Financial Risks of an Incorrect Order

Late Orders: May incur rush fees or lost seasonal delivery
Incorrect Sizes: Causes rework costs and delays
Missing PO: Can lead to payment holds
Payment Failure: Production may be canceled
Return Noncompliance: No refund or repair eligibility
Data Errors: Incorrect shipping causes carrier fines
