What the SSM Convention Event Agreement Covers

The SSM Convention Event Agreement is a written contract that defines the relationship between the convention organizer and participating parties (exhibitors, vendors, sponsors, and service providers). It sets the event scope, dates, venue responsibilities, fees, deliverables, insurance and indemnity obligations, cancellation terms, and signature blocks needed to confirm participation and payment.

Why a Clear Agreement Matters for Events

A well‑drafted SSM Convention Event Agreement reduces disputes, clarifies payment and setup responsibilities, and protects both parties by documenting insurance, liability limits, and cancellation rules in a single enforceable record.

Why a Clear Agreement Matters for Events

Who Typically Completes This Agreement

The agreement is completed by parties with operational or financial responsibility for attendance, exhibition, or on-site services.

  • Event organizers and show managers who set terms, assign booths, and collect payments for participation and services.
  • Exhibitors and vendors who accept booth assignments, pay fees, and commit to insurance and safety obligations onsite.
  • Sponsors, contractors, and service providers (caterers, AV, decorators) who supply goods or labor at the convention.

Accurate completion assigns responsibility clearly and speeds onboarding, billing, and logistics coordination before the event.

Core Elements to Include in the Agreement

A professional SSM Convention Event Agreement groups responsibilities, payment terms, and risk allocation into concise, referenced sections to reduce ambiguity and support enforcement.

Scope & Parties

Identify each contracting party by full legal name and business entity, state the venue and role (organizer, exhibitor, sponsor), and describe the covered activities and permitted uses.

Event Dates

List event start, end, move‑in and move‑out dates and precise hours; include contingencies for schedule changes, force majeure, and early termination procedures.

Services & Deliverables

Detail booth assignment, electrical/AV services, shipping and storage, exhibitor services provided by the organizer, and any third‑party service obligations.

Payment & Fees

Specify fee schedule, deposit amounts, remaining balance due dates, accepted payment methods, taxes, and consequences for late or missing payments.

Cancellation & Refunds

Set cancellation windows, refund percentages or forfeitures, and any conditions allowing substitution of a different exhibitor or vendor representative.

Liability & Insurance

Allocate responsibility for property damage and bodily injury, set minimum insurance limits, require certificates of insurance, and include indemnity and waiver language.

Step-by-Step: How to Complete and Submit the Agreement

A concise four-step workflow keeps completion fast and minimizes rework.

  • 01
Review Terms: Read each clause and confirm responsibilities.
  • 02
Complete Fields: Fill all required fields accurately, using MM/DD/YYYY for dates.
  • 03
Attach Documents: Upload insurance certificates and proof of authority if requested.
  • 04
Sign & Submit: Execute signatures and send copies to listed contacts.

How Electronic Submission and Routing Works

  • Assign Signers: Add signer emails and signing order as required.
  • Send for Signature: Distribute via secure signing link or email invite.
  • Store Completed Copy: Each party receives the signed agreement and audit trail.
