What a Stage Manager Services Agreement Covers

A Stage Manager Services Agreement is a written contract that sets out the scope, responsibilities, compensation, schedule, and authority of a stage manager hired for a theatrical, live-event, or production engagement. It defines deliverables such as rehearsals, tech calls, show running, and strike duties; allocates liability and insurance obligations; specifies payment terms, cancellation and rescheduling rules, and ownership or use of production materials. The agreement clarifies reporting relationships with the director and production manager and includes signature, effective date, and governing law provisions tailored to the production's location.

Why this Agreement Matters for Productions

Using a Stage Manager Services Agreement creates clear expectations about duties, hours, and deliverables, reduces disputes over compensation and scope, and documents insurance and safety responsibilities. It provides a contractual basis for enforcing payment, schedule commitments, and intellectual property allocations.

Key Dates to Record in the Agreement

Key dates and deadlines to include or watch for in a Stage Manager Services Agreement.

Rehearsal Start:

First scheduled rehearsal date and time.

Performance Run:

First and last performance dates; include call times.

Payment Due:

Payment schedule dates and final settlement deadline.

Cancellation Notice:

Notice period required for cancellation and associated fees.

Common Risks and Contractual Consequences

Payment Disputes: Late or unpaid fees create breach claims.
Schedule Conflicts: Missed calls can lead to replacement.
Tax Reporting: Independent contractor status affects 1099 reporting.
Insurance Gaps: Insufficient coverage increases liability exposure.
IP Misuse: Unauthorized recordings risk copyright disputes.
Invalid Signatures: Missing consent or improper e-sign process may reduce enforceability.

Common Preparation Mistakes to Avoid

  • Leaving duties undefined or using vague language like 'assist as needed' leads to disagreements about scope and unexpected out-of-scope work charges.
  • Failing to specify notice periods and cancellation fees can leave producers unable to recoup costs when a stage manager cancels short notice.
  • Using inconsistent names or legal entities across documents hampers payroll, tax reporting, and verification during notary or background checks; always match IDs.
  • Neglecting insurance requirements or not confirming additional insured status can shift event liability to producers or volunteers with costly legal exposure.

How Agreements Help in Real Productions

Real-world examples show how agreements resolve scheduling, payment, and liability issues across production types and scales.

Regional Theater Case

A regional theater hired a stage manager for a ten-week run and used a detailed agreement to define calls, strike duties, and per diem.

  • This avoided disputes over overtime and travel reimbursement.
  • When a last-minute schedule change required additional performance dates, the agreement's notice and overtime provisions enabled prompt payment adjustments and prevented litigation, saving time and preserving the production's relationship with the stage manager.

Corporate Event Example

A corporate event producer contracted a stage manager for a one-day awards show, specifying tech rehearsal, call times, and crew coordination in the agreement.

  • Defined deliverables streamlined vendor coordination.
  • Because invoicing milestones and expense approvals were explicit, the producer processed final payment within the agreed schedule, avoided backup withholding risk, and maintained clear records for tax reporting and post-event reconciliation.

Practical Tips for Clear, Enforceable Agreements

Practical practices reduce disputes and improve enforceability of Stage Manager Services Agreements across productions and payment processing.

Use clear, specific language
Avoid ambiguous phrases. Describe tasks, limits, and measurable deliverables. Spell out hours, overtime rates, rehearsal expectations, strike duties, and how changes to scope will be approved and compensated to reduce later disputes.
Confirm insurance and liabilities
Require proof of general and professional liability insurance, specify minimum limits, and name producers as additional insured when applicable. Clarify who covers workers' compensation and responsibilities for rented equipment and venue damages.
Specify payment and taxes
State whether the manager is an independent contractor or employee for tax purposes, outline invoicing procedures, payment timing, late fee consequences, and whether the producer will issue Form 1099-NEC for reportable payments.
Document changes in writing
Require written amendments for schedule changes, added responsibilities, or fee adjustments. Set a method for approval (email confirmation or signed amendment) and update copies distributed to all parties to maintain consistent records.
