Common Preparation Errors to Avoid

  • Failing to itemize fees (combining taxes, service, and penalties) creates disputes and complicates tax reporting and audit responses.
  • Using inconsistent date formats or missing time zones can shift due dates, cause late-fee miscalculations, and create legal ambiguity in collections.
  • Sending unsigned or unverified statements without an audit trail undermines enforceability and weakens defenses in dispute or small-claims proceedings.

Short-Form Risks and Consequences

Late Fees: Additional charges accrue; affects customer relations.
Returned Payments: Bank fees and possible service suspension.
Dispute Costs: Time and legal expense to resolve.
Tax Reporting Risk: Incorrect billing impacts IRS reporting.
Collection Action: Potential collections or legal proceedings.
Recordkeeping Penalties: Noncompliance with retention rules risks fines.
