What the Steel Frame Inspection Report Is and Contains

A Steel Frame Inspection Report documents the condition, installation, and compliance of steel framing elements during and after construction. It records observations about welds, bolted connections, member alignment, corrosion protection, fireproofing, and dimensional tolerances. The report typically identifies the inspector, inspection date, project and location details, referenced drawings and standards, nonconformances, photographs, and required corrective actions. Owners, contractors, and authorities use the report to verify that the structure meets applicable codes, contract specifications, and safety requirements before progressing to subsequent construction milestones or occupancy.

Why a Clear Inspection Report Matters

A complete, well-structured Steel Frame Inspection Report reduces rework, supports permit compliance, documents code adherence, and provides evidence for insurance and dispute resolution. It creates a single source of truth for corrective actions and acceptance criteria while protecting all project stakeholders.

Why a Clear Inspection Report Matters

Who Typically Prepares and Relies on This Report

Each party uses the report differently—contractors for repairs, owners for acceptance, and authorities for permitting and final sign-off.

  • General Contractor project managers tracking corrective actions and closeout documentation.
  • Licensed structural inspectors or professional engineers providing code compliance attestations.
  • Owners, developers, and building officials requiring recorded acceptance before next trades proceed.

Core Sections Every Professional Report Should Include

A concise structure improves clarity and utility: identify parties, reference documents, present findings, attach evidence, and provide a clear disposition for each nonconformance.

Project ID

Site address, project name, job number and relevant contract identifiers for precise record linkage and permit tracking.

Inspector Details

Name, license or certification number, firm, contact information, and scope of inspection to establish accountability and professional standing.

Scope & Standards

List inspection scope, referenced drawings, specs, and applicable codes (e.g., local building code, AISC standards) used as acceptance criteria.

Observations

Structured findings with clear pass/fail or acceptability status, measured deviations, and exact locations for each condition reported.

Photographic Evidence

High-resolution images with captions, dates, and coordinates where practical to support observations and corrective requirements.

Disposition & Actions

Required corrective actions, responsible parties, target dates, and final acceptance statement once corrections are verified.

Essential Data Fields to Capture

Report Date: MM/DD/YYYY
Inspector: Name and license
Location: Address, grid, bay
Referenced Docs: Drawings/specs
Findings Summary: Pass/fail overview
Attachments: Photos and sketches

Step-by-Step: Completing a Steel Frame Inspection Report

Follow these steps on-site or in the office to produce a consistent, actionable report that meets permit and contract requirements.

  • 01
Prepare: Gather drawings, specs, and permit paperwork before inspection.
  • 02
Inspect: Record measurements, check welds, and capture photographs.
  • 03
Document: Enter findings, reference photos, and note deviations.
  • 04
Approve or Reject: Assign disposition and schedule corrective follow-up.

Configuring an Online Inspection Report Workflow

Set up templates and roles to standardize inspections, automate routing, and reduce administrative delays.

Field Configuration
Upload template Use PDF or DOCX formats for reusable forms
Assign roles Inspector, reviewer, contractor, owner
Set required fields Mark inspector name, date, and disposition required
Conditional logic Show corrective action fields for failed items

Where to Submit Completed Reports

A consistent submission path ensures the inspection becomes part of the permit or project record and is available for review by all stakeholders.

  • Project Owner: Send final report and corrections log to owner
  • Contractor: Share findings with contractor for remediation
  • Building Department: File with local AHJ when required by permit
  • Project Archive: Store signed copy in project document system

Digital Delivery and Format Considerations

Ensure the platform preserves metadata, timestamps, and an audit trail to support verification and future dispute resolution.

  • File Formats: PDF, DOCX supported
  • Integrations: Salesforce, Procore, Google Workspace
  • Security: TLS in transit, AES-256 at rest

Typical Timing and When to Issue the Report

Inspection timing depends on contract milestones and permit conditions. Schedule inspections to align with erection, welding completion, and final framing sign-off.

Initial Erection Inspection:

At structural frame erection start

Weld Inspection:

After welds are completed on critical members

Mid-Project Check:

Periodic inspection during major milestones

Final Framing:

Before decking or enclosure work begins

Permit Closeout:

Submit final report to AHJ as required

Common Mistakes to Avoid

  • Incomplete location details that make corrective actions ambiguous and delay repairs.
  • Missing or low-quality photographs that fail to document the actual defect clearly.
  • Omitting inspector license or credentials, which can invalidate acceptance by authorities.
  • Using inconsistent measurements or units that create disputes over tolerance compliance.

Risks and Consequences of Poor Reporting

Safety Hazards: Undetected defects increase collapse risk
Code Violations: May trigger fines or stop-work orders
Insurance Denials: Coverage disputes for defective work
Schedule Delays: Rework extends project timelines
Cost Overruns: Rectification increases project cost
Legal Claims: Liability exposure and disputes
