What the Subhaul Delivery Document Is and When It’s Used

A Subhaul Delivery Document records the completion and handoff of freight or cargo moved by a subcontracted carrier (subhauler) on behalf of a primary carrier or broker. It verifies goods delivered, delivery time and location, condition on arrival, and any exceptions or damages observed. The document serves as operational proof of delivery, supports invoicing and claims, and documents chain-of-custody for short-haul or last-mile subcontracted legs. It is commonly used in logistics, construction site deliveries, and specialized freight where a primary carrier delegates a segment to a third party.

Why a Clear Subhaul Delivery Document Matters

A professionally completed Subhaul Delivery Document creates an auditable evidence trail for delivery acceptance, billing, and claims resolution while reducing disputes and payment delays.

Why a Clear Subhaul Delivery Document Matters

Who Typically Prepares and Uses This Document

Multiple parties rely on the Subhaul Delivery Document to confirm transfer of custody and support commercial, insurance, and regulatory processes.

  • Primary carriers and logistics managers who subcontract portions of a route for efficiency and cost control.
  • Dispatch coordinators and brokers who need proof of completed legs before invoicing and settlement.
  • Consignees, warehouse staff, and receiving agents who record condition and exceptions at delivery.

Proper completion and retention reduces billing disputes, speeds invoicing, and provides a defensible record for claims or audits.

Essential Parts of a Professional Subhaul Delivery Document

Include standardized sections and clearly labeled fields so each delivery is documented consistently. Consistency simplifies claims, invoicing, and audit review across carriers and customers.

Document Header

Carrier names, contract or load number, and document version to tie the POD to the master shipment contract and transaction.

Shipment Details

Description of goods, quantity, weight, packaging type, and any hazardous material designations for regulatory and handling reference.

Pickup / Delivery Data

Dates, times, exact delivery address, and name of receiving party to establish when and where custody transferred.

Condition and Exceptions

Space to record visible damage, shortages, or overages and to attach photos or timestamps documenting the exception.

Charges and Adjustments

Line items for accessorials, detention, demurrage, and agreed adjustments tied to the subhaul segment for billing clarity.

Signature & POD

Printed name, signer role, signature, and signature timestamp; if available, include electronic signature metadata and device information.

Step-by-Step: Filling Out a Subhaul Delivery Document

Follow a consistent sequence to reduce errors and ensure each handoff is traceable across systems and parties.

  • 01
Prepare: Retrieve load number, shipment manifest, and subhaul contract prior to delivery.
  • 02
Record Arrival: Capture delivery time, exact location, and recipient name immediately on arrival.
  • 03
Inspect Goods: Note condition and count; photograph any damage or discrepancy before acceptance.
  • 04
Sign and Distribute: Obtain signatures, date the form, and distribute copies to all contract parties.

Configuring a Digital Approval Workflow for Subhauls

Design digital routing to mirror operational roles: dispatcher, subhauler, consignee, and billing. Automate notifications for missing PODs.

Field Configuration
Authentication Email link or SMS code for signer verification
Required Attachments Photo proof and weight ticket enforced before submission
Routing Order Dispatcher → Subhauler → Consignee → Billing
Audit Capture Enable IP, timestamp, and device metadata logging

Typical Online Signing Flow for a Subhaul POD

An online flow reduces paper handling and centralizes signed proof of delivery for faster invoicing and fewer disputes.

  • Upload: Sender uploads the PDF or DOCX delivery form to the signing platform.
  • Place Fields: Sender adds signature, date, and photo attachment fields on the document.
  • Notify Signer: Platform sends an email or SMS link to the subhauler or consignee.
  • Sign: Signer authenticates, signs, and receives a copy plus audit trail.

Technical and Integration Considerations

Choose a platform that integrates with your TMS and supports mobile capture so drivers can sign at the point of delivery.

  • File Types: PDF, DOCX, and Excel supported
  • Integrations: Salesforce, NetSuite, Microsoft 365
  • Mobile Support: iOS and Android apps

Ensure the solution captures an audit trail (IP, timestamps), supports conditional fields for exceptions, and can attach photos and weight tickets to each POD for downstream billing and claims.

Security and Compliance Features to Look For

Encryption in Transit: TLS 1.2/1.3
Encryption at Rest: AES-256
Audit Trail: Detailed, tamper-evident logs
Regulatory Certifications: SOC 2 Type II
Healthcare Support: HIPAA (BAA available)
FDA / Records: 21 CFR Part 11 compliance

Common Risks and Financial Consequences

Missing POD: Delayed payment or invoice denial
Incorrect Signer: Contract disputed or invalidated
Late Claim Filing: Insurer denial or reduced recovery
Incomplete Details: Billing discrepancies and audit flags
Tampered Records: Legal admissibility challenged
Backup Withholding: 24% withholding for missing TIN

Frequent Preparation Errors to Avoid

  • Leaving shipment or load numbers blank increases reconciliation time and often requires manual correction by billing teams, which delays payment.
  • Recording ambiguous condition notes — for example, writing 'OK' without photos — weakens claims and makes liability allocation subjective.
  • Using inconsistent signer names or initials without printed names causes legal disputes about who accepted the delivery on behalf of the consignee.
  • Failing to attach weight tickets, bills of lading, or photos when an exception is noted typically leads to insurer or payer denial of claims.
