Practical Tips to Reduce Errors and Accelerate Onboarding

Verify Tax ID and Entity Status
Use IRS TIN Matching or request a signed W-9 to confirm the supplier's TIN and entity classification. Resolving mismatches before payment prevents backup withholding and IRS penalties under IRC §6721.

Require Supporting Documents Upfront for Onboarding
Request W-9, COI, licenses, and any certifications at initial submission. Use conditional fields to prevent form submission until required attachments are uploaded to avoid manual follow-up and record upload timestamps for audit.
Centralize Records and Access Controls in One System
Store signed forms, attachments, and audit trails in a secure document management system with role-based access. Apply encryption (TLS in transit; AES-256 at rest) and maintain retention schedules aligned with IRS and HIPAA rules.
