What the Supplier Information Update Form Is and when it's used

A Supplier Information Update Form is a standardized document suppliers use to notify buyers of changes to their company details, payment instructions, tax identifiers, and primary contacts. Common updates include legal business name changes, W-9 or tax ID updates, ACH account changes, mailing and remit-to addresses, and authorized signer information. Organizations use the form to keep accounts payable, contract records, and compliance files current, reduce payment delays, and maintain an auditable change history. Many organizations accept electronic completion and eSignatures under U.S. law to speed processing and preserve accuracy.

Why keeping supplier records current matters

Accurate supplier information prevents payment delays, reduces tax and compliance risk, and preserves an auditable trail for audits and vendor management.

Why keeping supplier records current matters

Who typically completes and processes this form

Internal teams collect and process updates while suppliers submit corrected information to maintain payment continuity and regulatory compliance.

  • Suppliers and vendor contacts: Submit updated legal, tax, and banking details to the buyer.
  • Accounts payable teams: Verify changes, update ERP records, and authorize payment routing.
