What the Tax Engagement DE4 Is and when it’s used

The Tax Engagement DE4 is a written engagement document used to record the scope, terms, and authorizations between a taxpayer and a tax professional or firm. It typically identifies parties, the period and returns covered, fee arrangements, responsibilities for information and delivery, and any authorization to e-file or represent the client. The form clarifies consent, assigns deliverables, and establishes recordkeeping expectations that both preparer and client rely on during preparation, review, and filing of federal and state tax returns.

Why a clear Tax Engagement DE4 matters

A well-drafted Tax Engagement DE4 reduces misunderstandings, documents client consent for e-filing or disclosures, sets payment terms, and creates an auditable record for compliance and dispute resolution.

Why a clear Tax Engagement DE4 matters

Who typically completes a Tax Engagement DE4

The document is useful wherever a signed agreement clarifying tax responsibilities and permissions is required before preparation, e-filing, or representation.

  • Independent CPA firms and enrolled agents preparing returns and managing filings.
  • Small and medium businesses’ accounting or finance departments handling payroll and corporate returns.
  • In-house tax teams at corporations and non-profit organizations coordinating external preparers and e-file authorizations.

Step-by-step: completing the Tax Engagement DE4

Follow these sequential actions to prepare, sign, and store the completed DE4 for compliance and filing.

  • 01
Gather documents: Collect IDs, TINs, prior-year returns, and supporting schedules.
  • 02
Complete fields: Populate all client, scope, and fee sections clearly.
  • 03
Obtain signatures: Have authorized signer sign and date the form.
  • 04
Distribute copies: Send a signed copy to client and preparer; archive master.

How to configure an online DE4 workflow

Set up routing, fields, and authentication to match your internal review and signature order for efficient digital completion.

Field Configuration
Authentication Email link, SMS code, or stronger KBA where required
Routing order Preparer → Client → Secondary approver as needed
Conditional fields Show tax-year fields only when applicable
Notifications Enable reminders and completion receipts

Where signed DE4 copies should be sent and stored

A consistent distribution plan ensures parties have the necessary signed authorizations for filing and audits.

  • Preparer: Signed copy retained by preparer for workpapers and audit defense.
  • Client: Provide client a signed PDF for their records and future inquiries.
  • Tax software: Upload signed DE4 into your tax software or document management system.
  • Backup archive: Store an immutable copy in long-term archive for retention compliance.

Distribution and eSignature platform requirements

Platforms with robust audit trails, encryption (TLS/AES-256), and integration options reduce manual steps while preserving legal evidentiary chain of custody.

  • File formats: PDF, DOCX, and TIFF supported
  • Integrations: Salesforce, NetSuite, Microsoft 365, Google Workspace
  • Authentication: Email, SMS, and advanced options

Timing and related tax filing deadlines to keep in mind

Use the DE4 to capture deadlines that affect deliverables, extensions, and information deadlines for related tax forms.

W-9 requests:

No fixed deadline; provide upon payer request

Form 1099-NEC:

Recipient and IRS due January 31

Form 1099-MISC (paper to IRS):

Paper filing due February 28

Individual tax return:

Form 1040 due April 15 (Oct 15 with extension)

FBAR (FinCEN 114):

Common preparation errors to avoid

  • Submitting incorrect or missing Taxpayer Identification Numbers, which can trigger backup withholding and IRS notices.
  • Using ambiguous engagement language on services or deliverables that leaves fee disputes unresolved.
  • Failing to capture explicit e-file consent or POA, causing delays in electronic submission or representation.
  • Not retaining a signed master copy and audit trail, which complicates audit responses and statute-of-limitations questions.

1099 late (>Aug1): $330 per form — IRC §6721

Core components to include in a professional Tax Engagement DE4

A comprehensive DE4 organizes responsibilities, authorizations, fees, deliverables, and dispute mechanisms so both parties understand expectations and limits of service.

Scope of Services

Precisely list returns, years, and ancillary services included. Clarity prevents scope creep and establishes the basis for additional engagement fees when work falls outside scope.

Client Responsibilities

Detail client obligations to provide timely documents, truthful information, and cooperation. Define delivery formats and deadlines to avoid delays in preparation and filing.

Fees and Billing

Specify fixed or hourly fees, payment timing, retainer requirements, and consequences for late payment including interest or work stoppage procedures.

Deliverables and Timing

Describe what the preparer will deliver (drafts, final returns, workpapers) and expected turnaround times for reviews and final sign-off prior to filing.

Authorization to File

Include explicit client consent for e-file or for the preparer to furnish information to taxing authorities; note any POA or third-party access granted.

Termination and Dispute Resolution

State termination rights, notice periods, and whether disputes will use mediation, arbitration, or court venues with governing law specified.

Real-world examples of DE4 use in practice

Practical examples show how organizations apply a DE4 to accelerate signing, ensure compliance, and preserve audit trails.

Optica Ventures LLC — COO

Optica consolidated engagement templates across partners to reduce ambiguity and speed onboarding.

  • The team used a standard DE4 for each client engagement to capture e-file authorization and fee terms.
  • This produced clearer client expectations and stored consistent signed records for audit readiness and internal quality control.

Martin Properties — Founder

The company moved property-related tax engagements online to avoid in-person signatures during closings.

  • DE4 templates captured scope, parcel IDs, and e-file consent.
  • The signed electronic records simplified access for property managers and tax preparers while preserving timestamps and an audit trail for compliance.
