Common document preparation pitfalls to avoid

  • Unclear objectives lead to unfocused sessions and poor measurable outcomes; define specific goals and success metrics before finalizing the agenda to avoid wasted time and costs.
  • Late or incomplete attendee information causes travel delays and dietary mistakes; collect RSVPs, IDs, and special needs at least three weeks before the event.
  • Missing approval signatures or inconsistent signatory names can invalidate agreements or complicate reimbursement; require matching legal names and capture eSignature audit trails.
  • Overlooking accessibility and inclusion needs harms participation; document accommodations, provide digital materials in advance, and assign a contact for accessibility issues.

Risks and potential consequences of errors

Governance risk: Failure to document approvals risks fiduciary disputes.
Tax reporting: Incorrect names affect 1099 and backup withholding.
Privacy breach: Unauthorized sharing may trigger HIPAA/FERPA concerns.
Contractual liability: Unsigned agreements create vendor payment disputes.
Notarization defects: Missing notarization may invalidate signatures in some states.
Expense penalties: Late filings risk reimbursement denials and audit.
