What the Technology Review Template Is and When Teams Use It

A Technology Review Template is a structured document used to evaluate software, hardware, cloud services, or third‑party providers before procurement, deployment, or major updates. It captures functional requirements, security and privacy checks, compatibility notes, risk ratings, and approval routing so stakeholders can compare options consistently. Organizations use the template to document evidence, record reviewer findings, and produce an audit trail for procurement, compliance, or internal governance. The template is typically completed by IT, security, procurement, and legal stakeholders working together to authorize adoption or further testing.

Why a Standardized Technology Review Template Matters

A consistent template reduces ambiguity, speeds decision cycles, and creates a repeatable record for governance and audits.

Why a Standardized Technology Review Template Matters

Who Typically Completes a Technology Review Template

Multiple roles usually contribute: IT owners capture technical fit, security teams assess controls, procurement evaluates costs, and legal reviews contractual terms.

  • IT Managers and Architects — Provide technical compatibility, integration considerations, and performance expectations for the tool.
  • Information Security Officers — Evaluate encryption, access controls, incident response, and regulatory risks such as HIPAA or PCI requirements.
  • Procurement and Finance — Compare pricing, licensing models, total cost of ownership, and vendor terms.

The template is designed for collaborative completion so that each discipline records findings in a uniform format for downstream approvals.

Step-by-Step: Completing the Technology Review Template

Follow a four-step flow that prepares, documents, reviews, and archives each review to ensure traceability and accountability.

  • 01
Prepare: Gather requirements, scope, and vendor materials before opening the template.
  • 02
Complete Fields: Enter technical, security, legal, and cost data with supporting evidence links or attachments.
  • 03
Collect Approvals: Route to security, legal, and procurement for sign‑off in defined order.
  • 04
Archive: Store the signed review and supporting files in the records repository for retention.

How to Configure the Online Review Workflow

Map fields, authentication, and routing rules in your eSignature platform before distribution to minimize repeated edits.

Field Configuration
Authentication Email link, SMS code, or advanced ID verification
Conditional Fields Show/hide mitigation fields when risk = High
Bulk Send Enable for high‑volume vendor assessments
Audit Trail Capture timestamps, IP, and signer identity

Where Completed Reviews Are Sent and Stored

Specify routing destinations to ensure reviewers and approvers receive the finalized record for compliance and procurement logging.

  • Internal Repository: Archive signed review in the document management system.
  • Compliance Team: Send a copy for regulatory oversight and audit purposes.
  • Legal: Provide final review for contract and liability language.
  • Vendor Records: Attach approved review to the vendor file for procurement history.

Platform and File Requirements for eSubmission

Confirm supported file types, integrations, and signer authentication methods before issuing the template.

  • File Formats: PDF, DOCX, and fillable forms supported
  • Integrations: Salesforce, NetSuite, Google Workspace support
  • Authentication: Email, SMS, or advanced ID checks

Ensure the platform preserves an audit trail, stores a tamper‑evident PDF, and integrates with your records system for long‑term retention and retrieval.

Essential Sections to Include in a Professional Template

A complete Technology Review Template balances functionality, security, legal, and commercial data so stakeholders can make informed adoption decisions.

Document Summary

Concise overview that lists scope, intended use, and deployment model so reviewers can quickly grasp purpose and limits of the technology under review.

Technical Fit

Fields for architecture, compatibility, API availability, and integration points to confirm how the technology will connect with existing systems and data flows.

Security Controls

Checklist covering encryption, access controls, logging, and incident response to assess whether the product meets organizational security baselines.

Privacy Assessment

Capture data types processed, data residency, and whether PHI or PII is involved to identify regulatory obligations such as HIPAA or state privacy laws.

Commercial Terms

Document licensing, payment terms, termination rights, and SLA commitments that affect total cost of ownership and vendor obligations.

Approval Log

Designated signer fields, dates, and an audit trail section to document approvals and the order in which stakeholders signed off for future audits.

Security and Compliance Elements to Record

Transport Encryption: TLS 1.2/1.3
Data at Rest: AES‑256 encryption
Audit Logging: Time‑stamped activity trail
Regulatory Coverage: ESIGN and UETA compliance
Healthcare: HIPAA (BAA required)
Standards: SOC 2 Type II, ISO 27001

Common Preparation Mistakes to Avoid

  • Incomplete evidence attachments — omitting vendor security reports or SOC 2 summaries delays approval and increases review cycles.
  • Vague risk ratings — assigning an undefined 'Medium' without justification forces rework and inconsistent mitigation actions across teams.
  • Incorrect versioning — failing to record product version or build can invalidate test results and complicate incident investigations.
  • Missing legal clauses — neglecting to capture data processing terms or indemnity language creates contractual gaps and legal exposure.

Risks and Consequences of Incorrect or Incomplete Reviews

Regulatory Fines: HIPAA or state privacy violations
Breach Exposure: Unmitigated security gaps
Contractual Liability: Vendor indemnity shortfalls
Operational Downtime: Integration failures causing outages
Procurement Delays: Repeated reviews increase costs
Audit Findings: Noncompliance noted in audits
