What a Therapy Marketing Banner Proof Is

A Therapy Marketing Banner Proof is a formal, versioned review document that shows how a banner advertisement or physical banner will appear when produced or published. It records visual elements (logo, color, copy, imagery), technical specifications (dimensions, file formats, bleed and safe zones), and required legal text or disclaimers. The proof functions as the authoritative reference for final approval, routing the design through stakeholders for signoff and capturing each revision and approval action for audit and production.

Why a Controlled Proof Matters for Therapy Marketing

A structured banner proof reduces errors, documents approvals, and protects providers by recording consent to final content. For therapy practices, it also helps confirm that messaging and imagery comply with professional licensing and patient privacy expectations without altering clinical obligations.

Why a Controlled Proof Matters for Therapy Marketing

Essential Parts of a Professional Banner Proof

A complete proof combines design references, legal language, technical specs, revision history, reviewer notes, and a formal approval block. Each component ensures the production file matches the approved artwork and that responsibility for changes is traceable.

Proof Header

Identifies the project, client, proof number, and version to ensure reviewers reference the correct iteration when approving or requesting changes.

Visual Mockup

Includes high-resolution renderings of the banner at intended scale, color callouts (Pantone/RGB/Hex), and screenshots or print proofs to show final appearance.

Technical Specifications

Lists final dimensions, bleed/safe zone, file type (PDF/X-1a, TIFF), resolution requirements, and print or web delivery instructions.

Legal & Compliance Text

Shows any required disclaimers, license numbers, counseling disclaimers, or privacy notices that must appear per professional or advertising rules.

Revision Log

Records change requests, who made them, timestamps, and version differences so approvals map to precise content.

Approval Block

Captures approver name, role, date, and signature (electronic or handwritten) to finalize the proof for production or publication.

Step-by-step: From Draft to Signed Banner Proof

Follow a tight review cycle to minimize iterations and ensure production uses the approved file.

  • 01
Prepare Artwork: Finalize high-resolution source files and export a print-ready PDF.
  • 02
Create Proof: Populate the proof template with project metadata, mockup images, and technical specs.
  • 03
Circulate for Review: Send the proof to reviewers with clear revision deadlines and role-based instructions.
  • 04
Capture Approval: Collect signatures and record timestamps, then lock the approved version for production.

Digital Workflow Overview for Online Proofing and Approval

An electronic workflow speeds reviews while preserving a verifiable audit trail for each approval step.

  • Upload Document: Add the proof PDF or image asset to the review platform.
  • Place Approval Fields: Insert signature, date, and comment fields where approvers must act.
  • Notify Reviewers: Send email or secure link with reviewer instructions and deadline.
  • Record Completion: System captures signer identity, timestamp, and a certificate of completion.

Common Online Settings When Sending a Banner Proof

Configure these settings to match your review security and accessibility needs before sending proofs for signature.

Field Configuration
Authentication Email link or SMS code
Access Expiry Set a fixed expiry date
Commenting Allow inline reviewer comments
Audit Trail Enable full event logging

Technical and Integration Considerations

Confirm platform settings (storage, retention, audit) align with organizational and regulatory requirements before sending proofs.

  • Integrations: Salesforce, NetSuite, Google Workspace, Box
  • File Formats: PDF/X, DOCX, JPEG, TIFF supported
  • Authentication: Email link, SMS code, or SSO

Supporting Documents and Export Options

Deliverable files and supporting documentation should accompany the proof to streamline production and compliance checks.

Print Specifications

Provide PDF/X files, bleed and trim settings, and recommended paper stocks so printers receive production-ready assets without additional adjustments.

Web-Ready Assets

Export optimized JPEG or PNG versions with specified pixel dimensions, alt text, and color profiles for digital placements.

Accessibility Notes

Document text-size, contrast ratios, and alternative text to support ADA and accessibility reviews for public-facing banners.

Final Approved PDF

Keep a single locked PDF of the signed proof as the authoritative file for production and dispute resolution.

Practical Tips for Accurate and Efficient Banner Proofs

Adopt consistent practices to reduce review cycles and ensure legal and clinical appropriateness for therapy-related messaging.

Maintain a Single Source of Truth
Store master artwork and proof templates in a secure shared location to prevent multiple conflicting versions circulating among reviewers, and update metadata for each revision.
Use Clear Reviewer Roles and Deadlines
Assign specific responsibilities (clinical review, legal, marketing, owner approval) and set short, realistic deadlines to avoid open-ended review windows.
Check for Privacy and Consent
Avoid identifiable patient images or protected health information; obtain written consent when real patient likenesses or testimonials are used.
Record Exact Color and Type Specs
Include Pantone or CMYK references and font files or names so printers and digital teams reproduce branding consistently across materials.

Common Preparation Errors to Avoid

  • Uploading low-resolution images that print pixelated or blurry.
  • Failing to include required disclaimers or license numbers in the proof.
  • Approving the wrong version due to unclear proof numbering.
  • Using patient photos without documented consent for marketing use.

Risks and Consequences of Incorrect or Improperly Approved Proofs

False Advertising Risk: Regulatory complaints possible
HIPAA Violation: Potential civil penalties
Brand Damage: Reputational harm and lost trust
Production Waste: Costs for reprints and delays
Contractual Disputes: Supplier liability claims
Misattributed Approval: Invalid signoff or legal exposure

Real-world Examples of Electronic Proofing in Practice

Two customer examples illustrate how electronic approvals reduce friction when finalizing marketing materials.

Fertility Centers of Illinois

A regional healthcare provider moved proofs online to centralize approvals and retain records.

  • They used a platform integration to capture signatures and timestamps.
  • The practice reported improved auditability and a single approved file for production, simplifying vendor handoffs and compliance checks.

Martin Properties

A small property business replaced paper signoffs with electronic proofs to speed marketing launches.

  • The team reduced turnaround time by eliminating in-person approvals.
  • Centralized signed proofs ensured the correct banner versions were produced and minimized reprint costs.
