What a Third Party Financial Statement Is and when it’s used

A Third Party Financial Statement documents the financial position or resources of an individual or entity other than the primary contracting party to support a transaction, application, or legal requirement. Typical uses include guarantor disclosures, third-party income verification for lending or tenancy, escrow or settlement support, and corporate attestations when a related entity provides financial backing. The form summarizes assets, liabilities, income sources, and material contingent obligations, and is often accompanied by bank statements, pay stubs, or audited financials to substantiate the representations it contains.

Why a clear Third Party Financial Statement matters

A properly completed statement reduces underwriting risk, clarifies liability exposure, and speeds approvals by giving recipients verifiable financial context. When paired with reliable supporting documents and appropriate signer authentication, it strengthens enforceability under U.S. e-signature law (ESIGN, 15 U.S.C. §7001) and most state UETA statutes.

Why a clear Third Party Financial Statement matters

Who typically completes or requests this statement

The audience and required substantiation level vary by industry and by the recipient's risk tolerance; always confirm the specific documentation required before submission.

  • Lenders and underwriters verifying guarantor support during credit reviews and loan origination.
  • Property managers and landlords assessing third-party guarantors for residential or commercial leases.
  • Escrow and settlement agents confirming third-party funds for real estate or M&A closings.

Core sections to include in a professional Third Party Financial Statement

A complete statement is organized to make verification straightforward: identify the parties, summarize current finances, list liabilities, disclose contingent obligations, attach supporting exhibits, and provide a signed certification and date.

Identification

Full legal name and role of the third party, taxpayer identification number, and contact details for verification and follow-up.

Assets

Itemized current assets including cash, securities, real property, investment accounts, and controllable business interests with valuations and supporting documents.

Liabilities

Itemized current and long-term liabilities such as mortgages, loans, liens, and contingent obligations showing balances and creditor names.

Income and Cash Flow

Recent income sources, typical monthly cash flow, and supporting pay stubs, 1099s, or business financial statements where applicable.

Certifications

A declarative statement under penalty of perjury affirming accuracy, including signature, printed name, title, and date.

Supporting Exhibits

Attachments such as bank statements, brokerage statements, tax returns, or audited financials to substantiate the disclosed figures.

Step-by-step: completing and delivering the statement

Follow a simple sequence to ensure completeness, authentication, and timely delivery of the Third Party Financial Statement.

  • 01
Gather documentation: Collect bank statements, tax returns, and asset valuations.
  • 02
Complete fields: Enter data carefully, use MM/DD/YYYY for dates.
  • 03
Authenticate signature: Sign in presence of required witness/notary or use compliant e-signature.
  • 04
Send and retain: Deliver to the recipient and store copies per retention rules.

Customize the online workflow for efficient completion

Configure the document workflow to reduce friction: require supporting attachments, enable conditional fields, and set signer authentication appropriate to risk level.

Field | Configuration Required | Mark identity, asset, and liability fields as required to prevent incomplete submissions
Conditional Sections | Configuration Enable | Reveal contingent obligation fields only if applicable
Attachment Rules | Configuration Require | Enforce upload of bank statements or tax return PDFs
Authentication Level | Configuration Select | Email+SMS or knowledge-based auth for high-value transactions
Audit Trail | Configuration Enable | Capture IP, timestamp, and signer events for compliance

Where to send or file the completed statement

Choose the correct recipient routing depending on the transaction: underwriting, escrow, legal counsel, or regulatory filing where required.

  • Lender or Underwriter: Submit to loan originator or credit committee with supporting exhibits.
  • Escrow or Closing Agent: Deliver copies to escrow for closing verification and fund disbursement.
  • Legal Counsel: Provide a signed copy for contract attachment or opinion letters.
  • Regulatory Filing: File with regulator only if the specific transaction triggers a statutory filing requirement.

Secure distribution channels and technical considerations

Match the distribution method to the sensitivity of the data and the recipient's ability to verify authenticity and retain records.

  • Email with secure link: Use expiring links and download restrictions for sensitive attachments
  • Verified eSignature platform: Employ audit trail, MFA, and document tamper-evidence
  • Encrypted file storage: Store signed copies on encrypted systems with access controls

Typical timelines and processing expectations

Processing timelines depend on the requestor and whether supporting documentation is complete; plan for authentication and review steps when scheduling.

Request to return:

Provide within 3–7 business days for routine underwriting

Enhanced review:

Allow 10–15 business days if auditors or counsel review supporting documents

Notarization window:

Complete notarization prior to submission when required

Regulatory lead time:

Follow the recipient’s regulatory filing deadlines as applicable

Amendment turnaround:

Expect 3–5 business days for revised statements to be accepted

Common preparation errors to avoid

  • Omitting supporting exhibits such as bank statements or tax returns causes verification delays and requests for re-submission.
  • Using inconsistent names or titles between the statement and supporting documents complicates identity confirmation and may invalidate the filing.
  • Failing to date the statement or using ambiguous date formats delays processing and creates disputes about the statement snapshot.
  • Not applying required witness or notarization procedures when specified leads to rejection or unenforceability of the statement.

Risks and potential penalties for incorrect statements

Tax consequences: Backup withholding may apply for incorrect TINs
Civil liability: Misrepresentation can trigger breach or fraud claims
Contract denial: Mortgage or lease approvals may be revoked
Regulatory fines: Regulators may assess fines for false filings
Criminal risk: Intentional falsification could lead to prosecution
Operational delay: Processing holds increase transaction costs
