Overview of the Tile Specifications Document

A Tile Specifications Document is a formal, itemized record that describes the materials, dimensions, finishes, performance standards, and installation requirements for tile products used in a project. It consolidates manufacturer data (composition, porosity, PEI rating), required tests (slip resistance, breaking strength, water absorption), color and pattern tolerances, installation substrate recommendations, grout and joint details, and regulatory or warranty conditions. The document is used by architects, designers, contractors, procurement teams, and quality assurance personnel to ensure consistent product selection, on-site compliance, and traceability throughout procurement and construction.

Why a Clear Specification Matters

A well-structured Tile Specifications Document reduces ambiguity, aligns stakeholders, and supports consistent procurement and quality control across job sites.

Why a Clear Specification Matters

Who Typically Prepares and Uses This Document

Each stakeholder relies on the document to verify compliance, avoid substitutions, and manage warranty and acceptance criteria.

  • Architects and designers specifying performance, finish, and layout requirements for project drawings.
  • General contractors and tile installers using installation methods, substrate prep, and grout joint sizes.
  • Procurement and purchasing personnel verifying manufacturer data, lead times, and batch lot control.

Core Elements to Include in a Professional Specification

Include concise, measurable criteria that an installer, inspector, and purchaser can verify without ambiguity.

Product ID

Manufacturer name, model/catalog number, color/pattern code, and batch or production lot identifiers to ensure traceability.

Physical Dimensions

Nominal tile size, actual size tolerance, thickness range, edge profile, and rectified vs non-rectified status for installation planning.

Material & Composition

Tile body (porcelain, ceramic, natural stone), glaze type, surface treatment, and any sealants or coatings applied by the factory.

Performance Ratings

PEI rating, MOHS hardness, water absorption percentage, breaking strength, COF (DCOF or static) and test standard references.

Finish & Color

Finish type (matte, polished), color consistency tolerance, lot-to-lot variation allowance, and sample approval process before installation.

Installation Notes

Substrate prep, recommended adhesive type, grout joint width, movement joints, and allowable ambient and substrate temperature ranges during installation.

Essential Data Fields to Capture

Product Code: Manufacturer SKU
Finish: Matte/Polished
Size Tolerance: ± mm range
Water Absorption: <= % value
Slip Rating: DCOF value
Warranty: Years / terms

How to Complete a Tile Specifications Document

Follow this sequence to produce a specification that supports procurement, QA, and installation without rework.

  • 01
Gather Product Data: Collect manufacturer data sheets and test reports.
  • 02
Define Performance: Set numeric acceptance thresholds and test standards.
  • 03
Record Installation Rules: Specify adhesives, substrates, and joint treatments.
  • 04
Approve Samples: Obtain signed material sample approval before ordering.

Customizing and Completing the Document Online

Set up digital fields and approval routing so stakeholders can review and sign without losing version control.

Field Configuration
Product Code Field Single-line text, required
Performance Attachments File upload, PDF only
Approver Sequence Two-step: Architect → Contractor
Signature Method Electronic signature with audit trail

Where to Send and Store Completed Specifications

Identify routing for approvals, procurement orders, and long-term storage to preserve traceability and support warranty claims.

  • Design Approval: Send to architect for sign-off
  • Procurement: Attach to purchase order package
  • Quality Control: File with QA and sampling records
  • Archive: Store signed PDF in project repository

Sharing Methods and Platform Integrations

Use platform integrations (CRM, ERP, cloud storage) to automate routing, versioning, and centralized access for all stakeholders.

  • Email Delivery: For low-volume sign-offs
  • Signed PDF Archive: Long-term, tamper-evident
  • Integration Options: Connect to project systems

Typical Timelines and Delivery Expectations

Establish deadlines for sample approvals, production lead times, and final delivery to coordinate installation schedules.

Sample Approval Window:

7–14 days from submission

Manufacturer Lead Time:

4–12 weeks depending on finish

Shipping and Customs:

Varies; allow extra 2–4 weeks for imports

On-Site Delivery:

Coordinate to match installation schedule

Final Acceptance:

Post-install inspection within 7 days

Common Mistakes to Avoid

  • Omitting test standard references (ASTM, ISO) which leads to disputes about whether materials meet performance requirements.
  • Failing to specify allowable color or batch variation, resulting in visible mismatches after installation and costly reorders.
  • Neglecting substrate preparation requirements that cause adhesive failure, cracking, or delamination during service.
  • Using vague acceptance language like 'acceptable finish' instead of measurable criteria and an approved sample process.

Risks from Incomplete or Incorrect Specifications

Cost Overruns: Delays and rework
Warranty Loss: Voided manufacturer warranty
Schedule Delays: Extended project timelines
Safety Issues: Slip or durability hazards
Nonconforming Delivery: Rejected shipments
Dispute Exposure: Contract claims
