What the Title Change Addendum Is

A Title Change Addendum is a short contract amendment used to record a change in legal ownership details on an existing title document, such as a deed or vehicle title. It clarifies which party is added, removed, or corrected, describes the legal basis for the change, and attaches any required supporting documents for county or state recording. The addendum is executed by the affected parties and may require notarization or witness signatures depending on state law and the underlying document type.

Why a Clear Addendum Matters

A properly drafted Title Change Addendum reduces recording delays, prevents disputes over ownership, and creates a clear public record. It helps title companies, lenders, and local recording offices accept and process the change without additional requests for clarification.

Why a Clear Addendum Matters

Typical parties who complete a Title Change Addendum

Several different roles encounter or complete this addendum when ownership or beneficiary details change.

  • Title companies and escrow agents responsible for preparing or reviewing recording documents and ensuring chain-of-title consistency.
  • Property owners or vehicle owners requesting name corrections, transfers after marriage, divorce, or estate matters.
  • Lenders, lienholders, or attorneys who must approve changes that affect security interests or obligations.

Use the correct signer and authentication method for each role to avoid rejections at recording or lender review.

Who signs and why

Title Agent

A title agent prepares the addendum, verifies chain of title, and often arranges notarization before submission. The agent ensures the addendum language matches lender requirements and county recording standards to prevent costly rejections or delays.

Property Owner

The owner(s) listed on the existing title must sign where required; mismatched names or missing signatures can cause recording rejection, trigger additional identity verification, or require a corrective instrument.

Essential components of a professional addendum

A complete Title Change Addendum packages factual changes with legal identifiers and signing blocks so officials can record the amendment without ambiguity.

Reference

Document reference: list original instrument type, recording date, and county to tie the addendum to the exact record.

Change Summary

A concise statement of the change (add, remove, correct), naming old and new parties and the reason for the amendment.

Legal Description

For real property, include the full legal description or parcel ID exactly as shown on the recorded deed.

Signatures

Signature blocks for all required parties plus printed names, dates, and notary or witness sections compatible with recording requirements.

Supporting Documents

Attach required items such as marriage certificates, death certificates, court orders, lien releases, or power of attorney documents.

Recording Instructions

Specify county recorder, fee payer, and any requested title company handling or return address for the recorded copy.

Step-by-step: completing the addendum

A straightforward filing sequence reduces delays; prepare documents, confirm identity, collect signatures, then submit for recording.

  • 01
Prepare: Locate original instrument details and supporting documents.
  • 02
Complete: Fill addendum fields exactly and attach required documents.
  • 03
Authenticate: Obtain notarization or witnesses per jurisdictional rules.
  • 04
Record: Submit to county recorder with appropriate fee and return instructions.

Configuring an online completion workflow

Set up a repeatable online workflow to collect signatures, store attachments, and route the recorded copy back to stakeholders.

Field Role | Setting
Signer Order Owner | Sign first; title agent signs after notarization
Authentication Method | Email link with optional SMS code
Attachments Accepted types | PDF, DOCX; include certified copies when required
Return Routing Delivery | Send recorded copy to title company and owner

Where to send the completed addendum

Routing depends on whether a lender, title company, or county recorder manages the process; follow the recorder's submission rules.

  • Title Company: Upload completed package to title company portal.
  • County Recorder: Submit paper or electronic filing per county rules.
  • Lender: Provide lender approval documents if lien instruments are affected.
  • Owner: Send copy of recorded addendum to all named owners.

Digital signing and file-format considerations

Use PDF or DOCX to preserve formatting and ensure acceptance by recorders or title companies.

  • File Formats: PDF | Preferred for recording; DOCX accepted by some title partners
  • eSignature Standards: ESIGN | Ensure transaction meets intent and consent requirements
  • Integrations: Common platforms | Salesforce, NetSuite, Google Workspace supported

Confirm the county recorder accepts electronic submissions and whether a certified digital signature or physical notarization is required before filing.

Common mistakes to avoid

  • Using a nickname or abbreviated name that does not match the recorded title will often lead to rejection and require a corrective instrument.
  • Omitting or attaching the wrong supporting document, such as an uncertified copy of a court order, may delay recording and require resubmission.
  • Failing to notarize or provide the required number of witnesses for the jurisdiction in question can void the filing or trigger a county notice.
  • Submitting inconsistent legal descriptions or instrument references that do not match the recorded deed often results in rejection by the recorder.

Consequences of incorrect or incomplete filings

Recording Rejection: Requires corrective filings
Title Defect: Can delay sale or financing
Lien Errors: May preserve lienholder rights
Tax Impacts: Possible reassessment or reporting issues
Legal Challenges: Potential disputes over ownership
Additional Costs: Extra fees for amendments
