Terms & Conditions

Payment is due in accordance with the Payment Terms specified above. If full payment is not received by the Due Date, a late fee shall accrue at a rate of 1.5% per month (18% per annum) on the outstanding principal balance or the maximum rate permitted by law, whichever is lower. Late fees shall be calculated from the day following the Due Date until payment in full is received.

Client must notify Issuer in writing of any dispute to this invoice within 10 days of the Invoice Date. Failure to provide timely written notice constitutes acceptance of the invoice. Disputed amounts shall not relieve the Client of the obligation to pay undisputed amounts by the Due Date.

All amounts are exclusive of taxes unless otherwise indicated. Client is responsible for any applicable sales, use, value-added, withholding, or other taxes, except taxes based on Issuer's net income. Issuer reserves a security interest in goods and services supplied until paid in full, and may retain title to all goods until full payment is received.

In the event of non-payment, Issuer is entitled to recover reasonable collection costs, including attorneys' fees, to the extent permitted by law. Issuer's liability for any claim arising out of this invoice or the related services is limited to refund of amounts paid for the specific invoice and shall not include consequential damages.

What the Total Invoice Template Is and When to Use It

A Total Invoice Template is a standardized billing document used to request payment for goods or services, summarize charges, and record transaction details. It typically lists seller and buyer information, itemized line charges, taxes, discounts, invoice number, issue date, due date, payment terms, and totals. Businesses use this template to create consistent invoices for clients, support accounts receivable tracking, and provide evidence for tax reporting and bookkeeping. A clear template reduces disputes, speeds payment cycles, and preserves required details for financial and regulatory records.

Why a Complete Total Invoice Template Matters

Using a complete template ensures invoices are accurate, auditable, and suitable for accounting and tax purposes, reducing payment delays and administrative follow-up while improving record retention for compliance.

Why a Complete Total Invoice Template Matters

Who Uses a Total Invoice Template

The Total Invoice Template is used by a wide range of payee organizations to bill clients, document revenue, and support tax and audit requirements.

  • Small businesses and sole proprietors who need repeatable, professional invoices and clear payment terms for clients and contractors.
  • Freelancers and independent contractors who must provide itemized work records and collect accurate tax information, including W-9 details when required.
  • Accounting and billing departments in mid-market and enterprise organizations that integrate invoices into AR workflows and ERP systems for reconciliation.

Proper use of a template supports faster payment processing, consistent recordkeeping, and easier financial reporting across accounting systems and auditors.

Essential Parts of a Professional Total Invoice Template

A professional invoice groups contact details, transaction specifics, costs, and legal terms so recipients can verify charges and submit timely payment. Consistent fields improve automation and reduce reconciliation errors.

Invoice ID

Unique invoice number and issue date to support accounts receivable tracking, audit trails, and to prevent duplicate payments or misapplied credits.

Bill-To Details

Customer name, billing address, contact person, and purchase order number when applicable; accurate payer data avoids delays and supports 1099/backup withholding checks.

Line Items

Itemized description of services or goods, quantity, unit price, and line subtotal so recipients can reconcile charges against contracts or deliveries.

Taxes and Adjustments

Explicit sales tax, discounts, shipping, and other adjustments with jurisdiction notes to ensure correct tax treatment and compliance with state rules.

Payment Terms

Due date, accepted payment methods, late fee policy, and remittance instructions to set clear expectations and improve collections performance.
