What the Translation Quotation Template Is

A Translation Quotation Template is a standardized document used to provide prospective clients with a detailed, itemized price estimate for translation services. It captures client and project details, pricing units (per word, per hour, or per page), scope of work, delivery timeline, revision policy, and payment terms so both parties have a clear record of the proposed engagement.

Why a Standardized Quotation Matters

A clear quotation reduces misunderstandings, speeds approvals, and creates an auditable pricing record for accounting and compliance. It also clarifies scope and limits disputes about deliverables, revisions, and billing.

Why a Standardized Quotation Matters

Who Typically Prepares and Receives These Quotes

Translation quotations are used by agencies, independent linguists, and client procurement teams to document scope, cost, and timelines before work begins.

  • Translation agencies managing multi-lingual projects for corporate clients and coordinating vendors and reviewers.
  • In-house procurement or vendor managers requesting formal estimates for contract approvals and budgeting.
  • Freelance translators or small studios issuing concise quotes to prospective clients for individual assignments.

Use the template to ensure consistent pricing, permit centralized tracking, and enable faster acceptance and invoicing across projects.

Essential Parts of a Professional Translation Quotation

A professional quotation organizes client and project information, a detailed price schedule, delivery expectations, and clear acceptance terms so both parties can sign and proceed with confidence.

How to Deliver, Receive, and Record a Signed Quote

The typical delivery path ensures the client can review, sign, and receive a copy while you retain an audit trail.

  • Send quote: Email link or send document for review.
  • Client review: Client checks details and requests clarifications.
  • eSign: Client signs electronically to accept terms.
  • Store copy: Save signed copy with invoice reference.

Digital Signing and Delivery Considerations

Choose a platform that supports common file formats, secure signer authentication, and an audit trail for accepted quotations.

  • File formats: PDF, DOCX, and ODT supported
  • Integrations: CRM and cloud storage links
  • Authentication: Email, SMS, or stronger options

Ensure the platform you use can export signed PDFs, preserve metadata, provide audit reports, and integrate with accounting or project management systems for seamless invoicing and fulfillment.

Typical Timelines and Validity Periods

Include clear timeframes on the quotation so clients understand delivery expectations and how long the offer remains valid.

Quote validity window:

Commonly 30 days unless stated otherwise.

Standard turnaround:

1–3 business days for small jobs; varies for large projects.

Rush delivery:

Specify expedited fees and shortened delivery windows.

Deposit due date:

State when deposit is payable to schedule work.

Revision window:

Define free revision period and limits.

Common Mistakes When Preparing a Translation Quote

  • Underestimating word counts by relying on visible page content instead of exported CAT-tool counts, leading to unexpected additional charges and client disputes.
  • Omitting assumptions such as whether DTP, formatting, or glossary creation are included, which creates scope confusion during delivery.
  • Failing to specify accepted file formats and editable file requirements, which can delay onboarding and require reformatting fees.
  • Using ambiguous payment terms or missing tax applicability, which complicates invoicing and may delay client payment processing.

Risks if the Quotation Is Incorrect or Incomplete

Scope creep: Unclear scope leads to unpaid extra work
Payment disputes: Inadequate terms increase collection risk
Missed deadlines: Late delivery harms client relationships
Incorrect billing: Wrong currency or rates produce refunds
Confidentiality breach: Missing NDA language risks data exposure
Regulatory noncompliance: Healthcare or education work may require special protections

Practical Quotation Scenarios

Two representative situations showing how a translation quotation structures costs and acceptance for different clients.

Scenario: Technical Manual

A manufacturing client needs a 20,000-word manual translated into Spanish;

  • The project requires DTP and glossary creation;
  • The quote lists $0.12/word translation, $35/hour DTP, a three-week delivery, two free revisions, and a 30-day acceptance window.

Scenario: Legal Certification

A law firm requests a certified translation of contracts for filing;

  • Notarization and certified translator statements are required;
  • The quotation separates translation, certification, and notarization fees, specifies turnaround with expedited options, and requires a signed acceptance plus deposit.

Who Can Sign and Bind the Quotation

Agency Project Manager

Project managers or authorized agency representatives can sign to commit resources, accept terms, and approve subcontractor use; include title and authorization level to prevent disputes.

Client Authorized Representative

A client signer must be a named authorized representative or purchaser listed on record; ensure the signer is empowered to accept financial terms and provide purchase orders.
