Passenger Details

Include full legal name, date of birth, passport details, nationality, frequent flyer numbers, seat preferences, and special assistance flags so carriers and immigration authorities can verify identity and pre-clearboarding requirements.

Accommodations

Record hotel or berth names, addresses, check-in and check-out dates, reservation numbers, and any guaranteed amenities or accessibility notes. Include contact phone numbers and confirmation channels for quick changes.

Visas & Documentation

Summarize visa types, visa numbers where applicable, authorization letters, vaccination certificates, passport expiry warnings, and which parties must retain originals versus copies for inspections.

Emergency Contacts

Provide primary and alternate contacts, embassy or consular assistance numbers, on-trip medical provider contacts, and instructions for immediate notification in the event of delay or medical emergency.
