Travel Trip Planning Agreement

This Travel Trip Planning Agreement (the Agreement) is entered into by and between Client Name: and Travel Planner Name: .

WHEREAS

WHEREAS, Client desires to retain Planner to provide professional travel planning and coordination services for the trip described in this Agreement; and

WHEREAS, Planner possesses experience, contacts, and the capability to arrange transportation, accommodations, activities, and related services and is willing to provide such services under the terms set forth herein; and

WHEREAS, the parties wish to set forth their respective responsibilities, payment terms, confidentiality obligations and other material terms governing the planning engagement.

SCOPE OF WORK

Planner shall provide professional services to design, coordinate and deliver a travel plan for the trip described below. Services may include research, supplier negotiation, booking coordination, itinerary development, document preparation, and on-request support.

PAYMENT TERMS

Client agrees to pay Planner the fees and expenses described below. All fees are due in accordance with the schedule below and are non-refundable except as expressly provided.

Client acknowledges that certain third-party supplier bookings may require prepayment and/or non-refundable deposits. Planner will use reasonable efforts to advise Client of non-refundable components prior to incurring such charges. Client is responsible for amounts charged by suppliers in accordance with supplier terms.

TERM AND TERMINATION

This Agreement commences on Start Date: and will terminate on End Date: unless earlier terminated in accordance with this section.

Either party may terminate this Agreement for convenience upon written notice delivered at least Notice Period (days): days prior to termination. Termination shall not relieve Client of its obligation to pay for services rendered and non-refundable supplier costs incurred prior to termination.

CANCELLATION, REFUNDS, AND CHANGES

Client agrees that cancellations, changes or rebookings may be subject to supplier penalties and Planner administrative fees. Refunds, if any, will be issued net of supplier penalties and non-refundable deposits. Planner will use commercially reasonable efforts to obtain refunds from suppliers but cannot guarantee recovery.

CONFIDENTIALITY

Each party agrees to keep confidential all non-public information disclosed by the other party in connection with the services under this Agreement, including personal traveler information, itinerary details, pricing proposals and supplier contacts (Confidential Information). Confidential Information shall not include information that is or becomes publicly available other than through a breach of this Agreement. The receiving party will use Confidential Information solely to perform its obligations hereunder and will not disclose such information except to suppliers or advisors on a need-to-know basis and subject to confidentiality obligations.

DATA, PASSPORTS & DOCUMENTS

Client is solely responsible for obtaining and maintaining valid travel documents, visas, vaccinations and insurance. Planner may collect passport numbers, birthdates and other personal data necessary for bookings; such data will be handled in accordance with the confidentiality obligations set forth above.

EMERGENCY CONTACT

INSURANCE

Client acknowledges that travel insurance is strongly recommended and is the responsibility of the Client unless otherwise agreed. Planner may recommend insurance products but does not act as an insurer or insurance broker unless separately engaged in writing.

GOVERNING LAW

This Agreement shall be governed by and construed in accordance with the laws of the State of , without regard to its conflict of law principles.

LIMITATION OF LIABILITY

Planner's liability for any claim arising out of or related to this Agreement shall be limited to direct damages not to exceed the total fees paid by Client to Planner under this Agreement. In no event will Planner be liable for consequential, incidental, special, punitive or exemplary damages, or for losses resulting from supplier failures or acts of force majeure.

ENTIRE AGREEMENT

This Agreement, together with any written statements of work or appendices signed by the parties, constitutes the entire agreement between Client and Planner with respect to the subject matter hereof and supersedes all prior and contemporaneous agreements, proposals and communications, whether oral or written.

Notices shall be delivered in writing to the addresses provided above and shall be effective upon receipt.
