What the UAT Project Side Cart Is and When it's Used

The UAT Project Side Cart is a structured record used during user acceptance testing to capture changes, stakeholder approvals, and ancillary items that affect a release candidate. It documents who requested a side-item, the scope of the change, acceptance criteria, and any dependencies or blockers discovered during testing. The Side Cart supports traceability between test results and deployment decisions, provides an audit trail for approvals, and clarifies scope handoffs between QA, product, and release engineering teams.

Why a Formal Side Cart Matters for UAT

Using a formal Side Cart centralizes ad hoc changes discovered during UAT so decisions are consistent and auditable.

Why a Formal Side Cart Matters for UAT

Who Typically Creates and Reviews a UAT Project Side Cart

Teams and roles that interact with the Side Cart are listed below to clarify responsibilities during testing.

  • QA lead — records defects and proposed scope adjustments; tracks test evidence and acceptance criteria.
  • Product manager — assesses business impact, prioritizes side items, and approves or defers items for later releases.
  • Release manager — evaluates scheduling and deployment risk, confirms what can be included in the current release.

Assign clear owners for each item and capture reviewer names and dates to maintain a defensible audit trail.

Essential Sections to Include in a Professional Side Cart

A complete Side Cart has discrete sections to capture metadata, change details, test evidence, approval status, deployment notes, and related artifacts.

Header

Project name, release version, Side Cart ID, and creation date provide basic traceability for the item.

Request Details

Submitter name, stakeholder group, concise description of the side item, and priority or severity classification.

Acceptance Criteria

Specific pass/fail conditions tied to test cases; list measurable outcomes required to accept the change.

Test Evidence

Links or attachments to test logs, screenshots, and failing steps that justify the Side Cart entry.

Approvals

Named approvers with date/time stamps and role (product, QA, security, release) for accountability.

Deployment Notes

Rollback plan, migration steps, and any post-deploy verification required to confirm a successful release.

Security, Compliance, and Audit Elements to Record

Encryption: Use TLS 1.2/1.3 in transit and AES-256 at rest.
Audit Trail: Record signer identity, timestamp, and IP address.
Access Controls: Role-based permissions for create/edit/approve actions.
BAA Availability: HIPAA BAA required for protected health data.
Certifications: SOC 2 Type II and ISO 27001 help meet audit requirements.
Retention Policy: Preserve signed records per legal retention rules.

Step-by-Step: Creating and Processing a Side Cart Entry

Follow these steps to file, review, and resolve a Side Cart item during UAT.

  • 01
Record item: Enter title, description, severity, and linked test case reference.
  • 02
Attach evidence: Add screenshots, logs, or failing steps required for triage.
  • 03
Route for approval: Send to product and release owners for documented decisioning.
  • 04
Close with verification: Mark accepted or deferred and attach post-fix verification artifacts.

Recommended Digital Workflow Settings for a Side Cart

Configure your digital workflow to enforce fields, routing, and signer authentication appropriate for release governance.

Field Configuration
Required fields Title | Description | Severity | Acceptance criteria
Signer order Product → QA lead → Release manager
Auth method Email verification or SSO; MFA for approvers
Notifications Email and in-platform reminders for pending approvals

Typical Routing and Decision Flow for a Side Cart

A clear routing sequence reduces ambiguity and speeds decisioning during the test window.

  • Submitter files: Create Side Cart entry and attach test evidence.
  • Product triage: Product assesses impact and recommends accept or defer.
  • Release approval: Release manager confirms schedule and deployment risk.
  • QA verification: QA verifies fix and marks item closed with evidence.

Technical Requirements and Integrations for Online Completion

Use a platform that supports secure eSigning, attachments, and integrations with your ALM or issue tracker.

  • Integrations: Salesforce, NetSuite, Jira, Microsoft 365, Google Workspace compatibility.
  • File formats: PDF, DOCX, HTML, and Excel supported for attachments.
  • Authentication: SSO, MFA options, and SMS or email verification.

Common Timeframes and Deadlines for Side Cart Processing

Define explicit deadlines for review, approval, and verification to avoid scope creep during the release window.

Submission window:

File Side Cart entries at least 48–72 hours before the freeze for triage.

Product response:

Product must triage and declare accept/defer within 24–48 hours of submission.

Release decision:

Release manager confirms inclusion or deferral before deployment cutoff.

QA verification:

QA verifies fixes and posts evidence within agreed SLA after deploy.

Audit upload:

Final signed records uploaded to archive within 7 days of closure.

Key Risks and Legal Considerations to Monitor

Invalid signature: May be unenforceable under ESIGN (15 U.S.C. ch. 96)
Data exposure: Potential HIPAA violation if PHI exposed during testing
Missed deadlines: Can delay release and increase remediation cost
Inaccurate records: Complicates audits and post-release investigations
Improper approvals: Delegation errors can void acceptance decisions
Retention lapse: May breach recordkeeping obligations or audit rules

Common Preparation Mistakes to Avoid

  • Submitting incomplete evidence such as screenshots without reproduction steps makes triage slow and increases back-and-forth between teams.
  • Using ambiguous acceptance criteria like 'works better' rather than measurable outcomes prevents objective verification and risks inconsistent approvals.
  • Failing to name approvers or record their roles leads to unclear ownership and can invalidate decisions during audits or postmortems.
  • Not preserving the signed Side Cart and audit trail centrally increases the chance of lost records and weakens compliance with retention policies.
