What the Utility Energy Program Letter Is

A Utility Energy Program Letter is a formal written notice used to enroll, update, or confirm participation in a utility-sponsored energy program such as demand response, time-of-use billing, or energy efficiency incentives. It documents participant identity, service address, account numbers, program selection, and any terms or consents required by the utility. The letter serves as the primary record for the utility to authorize enrollment, apply program rates or credits, and maintain an auditable trail for compliance, customer service, and program reporting.

Why a Clear, Complete Letter Matters

A properly prepared Utility Energy Program Letter speeds enrollment, reduces processing errors, and establishes proof of consent and program terms. It helps utilities apply rates or incentives correctly and protects participants by recording selections and effective dates in writing.

Why a Clear, Complete Letter Matters

Who typically prepares and signs this letter

The Utility Energy Program Letter is used by utilities, energy service providers, and their customers to document program enrollment and consent prior to rate or service changes.

  • Utility program administrators and customer service teams who collect enrollments and maintain program records.
  • Third-party energy service companies (ESCOs) acting on behalf of customers under written authorization or agency agreements.
  • Residential and commercial account holders enrolling themselves, their building managers, or authorized agents.

Preparing the letter carefully minimizes follow-up requests and supports timely activation or crediting under the enrolled program.
