What the Vehicle Bill of Sale Form Is

A Vehicle Bill of Sale Form documents the transfer of ownership of a motor vehicle between a seller and a buyer. It records essential facts — parties, vehicle identification (VIN), sale price, odometer disclosure where required, and the effective date — and serves as proof of the transaction for titling, registration, tax reporting, and liability allocation.

Why a Clear Bill of Sale Matters

A complete Bill of Sale reduces post-sale disputes, supports title transfer at the DMV, and helps establish a taxable sale price for state or local use tax. It also protects both parties by documenting the vehicle’s condition and the agreed consideration.

Why a Clear Bill of Sale Matters

Who Typically Prepares and Signs Vehicle Bills of Sale

Each signer should confirm identity and retain a copy; depending on state rules, notarization or additional DMV forms may be required.

  • Private sellers and individual buyers completing a transfer between two parties.
  • Dealerships and brokers recording trade-ins or used-vehicle sales.
  • Businesses transferring fleet vehicles, including asset managers and accounting staff.

Step-by-step: Completing the Vehicle Bill of Sale Form

Follow these core steps to produce a legally useful Bill of Sale that supports title transfer and reduces downstream friction.

  • 01
Verify identity: Confirm buyer and seller names match government ID before entering details.
  • 02

  • 03
State the consideration: Write the exact sale price in numbers and words to avoid ambiguity.
  • 04
Sign and date: All parties sign and date in the designated blocks; note witness or notary if required.
