Use Photos with Filenames
Attach dated photos and use a standard filename convention including date and asset ID to make evidence easy to locate and verify during claims or audits.
Standardize Date Formats
Require MM/DD/YYYY across forms and systems. Consistent dates reduce reconciliation errors and avoid incorrect aging or warranty coverage calculations.
Require Itemized Parts
List part numbers and unit costs to prevent disputes and to enable automatic inventory adjustments and easier supplier invoicing reconciliation.
Preserve Originals
Do not overwrite original entries. Append corrections with timestamps and initials to maintain an unbroken audit trail for liability or insurance reviews.
