What the Vendor Information Detail Is and when it’s used

The Vendor Information Detail is a standardized vendor onboarding and profile form used by procurement and accounts payable teams to collect a supplier’s legal, tax, banking, insurance, and contact information. It captures the vendor’s legal entity name, taxpayer identification number (TIN), W-9 or tax classification, remittance and legal addresses, ACH or wire instructions, primary contact details, and required certificates or licenses. The form can be completed electronically and retained as part of the vendor master record to support payments, tax reporting, risk screening, and regulatory compliance under U.S. e-signature law.

Why a complete Vendor Information Detail matters

A correctly completed Vendor Information Detail centralizes vendor data, reduces payment delays and tax reporting errors, and supports vendor risk management. Accurate entries prevent backup withholding, speed invoice processing, and provide an auditable record for procurement and compliance reviews.
