What a Video Change Request Is and When It’s Used

The Video Change Request is a written form used to propose, authorize, and record revisions to an existing video production or published video asset. It captures the requester, scope of the requested edits, precise timecodes, reasons for the change, priority, and any approval or budget authorizations. Common uses include editorial corrections, caption or audio updates, rights or compliance edits, and distribution-level variations. When completed and signed, the form creates an auditable record of what was requested, who approved it, and when changes should be implemented, improving handoffs across production, post, and publishing teams.

Why a Standardized Change Request Matters

A standardized Video Change Request reduces rework, records approval and cost impacts, and clarifies responsibility and schedule. It creates a single authoritative record for production, legal, and distribution teams and supports enforceable approvals when executed under ESIGN and state e-signature laws.

Why a Standardized Change Request Matters

Who Typically Creates and Approves These Requests

Common users of the Video Change Request include staff across production, compliance, and distribution who initiate and approve content edits.

  • Production coordinators and editors who identify required editorial or technical corrections.
  • Legal or compliance officers reviewing content for regulatory or rights-related changes.
  • Marketing and distribution managers approving final versions for channels and campaigns.

Use the form to centralize requests, preserve a timestamped approval trail, and reduce duplicate or conflicting instructions.

Core Parts of a Professional Video Change Request

Essential components of a professional Video Change Request ensure clarity of scope, responsible parties, timing, cost, technical details, and approval authority.

Scope

Describe exact edits, affected timecodes or segments, deliverables to be updated, and whether the change is additive, subtractive, or replacement. Include references to script sections or asset IDs.

Requester

Name, role, department, and contact information for the person initiating the change. Indicate authorization level and provide a backup contact to prevent implementation delays.

Timing

Specify requested effective date and deadline for implementation. Use MM/DD/YYYY for dates and include timecode-based deadlines when applicable to prioritize scheduling across post-production teams.

Cost Impact

Indicate any budget change, estimated hours, or required third-party services. Attach or reference cost approvals, purchase order numbers, or line items that authorize expenditures explicitly.

Technical Specs

List file formats, codecs, resolution, color profiles, caption formats, and any source asset requirements. Note version control conventions and provide links to master assets or storage locations.

Approval

Designate approvers by name and role, specify approval order if sequential, and require signature or e-signature with date. Record conditional approvals and any delegated authority.

Change Description: Concise summary plus timecodes.

Timelines, Deadlines, and Expected Turnaround

Key dates and processing expectations for Video Change Requests, including response windows and escalation timelines.

Acknowledgment Window:

Confirm receipt within 24–48 business hours.

Review Period:

Standard review completes in 3–5 business days.

Approval Deadline:

Approvals required at least 48 hours before implementation.

Implementation Lead Time:

Post-production may require 2–10 business days depending on scope.

Expedited Requests:

Same-day or 24-hour requests incur priority handling.

Common Mistakes to Avoid When Preparing Requests

  • Missing or vague timecodes lead to incorrect edits, rework, and delays because editors cannot precisely identify the intended segment without clear start and end points.
  • Failure to document approval authority causes confusion; changes implemented without proper sign-off may be reversed or require additional legal review, increasing cost and schedule risk.
  • Submitting technical specifications after approval forces versioning issues; always attach codec, resolution, and file references before work begins to prevent compatibility problems.
  • Not associating cost or purchase order information with the change request stalls processing when finance cannot verify authorization for incurred expenses.

Penalties and Operational Risks of Incorrect Requests

Missed Deadlines: Delayed releases and contractual breaches.
Extra Costs: Overtime or expedited fees.
Legal Exposure: Rights violations or compliance fines.
Rework: Additional editing cycles required.
Distribution Errors: Wrong version published to channels.
Audit Issues: Incomplete records weaken audit defense.

Who Typically Signs and Why Their Role Matters

Production Manager

Typically initiates and coordinates the change, verifies technical feasibility, and assigns tasks to editors. The production manager confirms scheduling availability and escalates budget variances for approval. Their signature indicates operational authorization to proceed with the edit.

Legal Approver

Reviews for rights, clearances, and regulatory compliance; confirms appropriate release language and tracks any consumer disclosures. Legal approval reduces litigation risk and ensures changes do not violate contracts or privacy laws before distribution.
