What the Volunteer Agreement Template Is and When to Use It

A Volunteer Agreement Template is a written contract that sets out the roles, responsibilities, and expectations between an organization and an unpaid individual performing volunteer services. It documents scope of duties, time commitments, safety and training requirements, confidentiality and data-handling rules, insurance and liability allocation, and any background check or credentialing conditions. Organizations use this template to reduce operational ambiguity, protect volunteers and beneficiaries, and create a consistent record for compliance, insurance, and risk-management purposes across programs and events.

Why a Clear Volunteer Agreement Matters

A clear template reduces disputes, clarifies expectations, and supports volunteer safety and organizational compliance with insurance and regulatory obligations.

Why a Clear Volunteer Agreement Matters

Who Typically Uses this Volunteer Agreement

Use the template whenever you need a consistent, auditable record of volunteer terms, eligibility checks, and insurer-facing documentation.

  • Nonprofit program managers and volunteer coordinators who onboard, schedule, and supervise volunteers.
  • Educational institutions and campus groups that require written permission and conduct background checks.
  • Healthcare and social service providers that collect limited health data and require privacy safeguards.

Core Sections a Professional Volunteer Agreement Should Include

A well-structured volunteer agreement balances operational detail with straightforward language so volunteers and staff can understand obligations, risks, and next steps.

Parties

Identify the organization and volunteer by full legal name, mailing address, and contact information to ensure correct attribution and service of notices.

Scope of Work

Describe duties, expected schedule, location, and any equipment provided or required so both parties share a clear understanding of volunteer tasks.

Term and Termination

State the agreement start date, duration or review schedule, and processes for early termination by either party with notice provisions.

Confidentiality

Specify categories of confidential information, permitted disclosures, duration of confidentiality obligations, and any exceptions required by law.

Safety and Training

List required training, safety protocols, personal protective equipment, and reporting procedures for incidents or workplace hazards.

Liability & Insurance

Clarify whether the volunteer is covered by the organization’s insurance, any indemnity language, and limits of liability for activities.

Common Mistakes to Avoid When Preparing Volunteer Agreements

  • Using vague role descriptions that leave duties and restrictions undefined, increasing disagreement and liability exposure.
  • Failing to obtain explicit consent for background checks and data handling, which delays onboarding and creates privacy risks.
  • Allowing unsigned or backdated agreements into use, which can undermine enforceability and complicate insurance claims.
  • Neglecting to adapt the agreement for minors or regulated settings such as healthcare or schools, risking noncompliance.

Potential Risks and Legal Consequences of Incomplete Agreements

Liability Exposure: Increased organizational liability
Insurance Gap: Claim denial risk
Regulatory Noncompliance: Fines or corrective orders
Enforceability Issues: Disputed obligations
Privacy Breach: Improper PHI handling
Reputational Harm: Public trust loss
