What the Volunteer Information Package Is

A Volunteer Information Package collects personal, contact, emergency, and role-specific details from prospective and active volunteers to support onboarding, scheduling, safety, and legal compliance. Typical content includes full legal name, contact information, emergency contacts, health or accommodation needs, availability, role preferences, acknowledgements, and consent for background checks or media release. Organizations use the package to document permissions, assess fitness for duties, route records to background-check vendors, and maintain an auditable record for compliance, risk management, and volunteer coordination.

Step-by-step: Completing and Submitting the Package

Follow these four steps to gather, complete, verify, and submit volunteer details so onboarding proceeds without delays.

  • 01
Gather Documents: Collect ID, certifications, immunization records if required.
  • 02
Complete Form: Enter fields carefully using required formats and dates.
  • 03
Review & Consent: Confirm emergency contacts and sign consent fields.
  • 04
Submit & Retain: Send to coordinator and save a copy for records.

Who Prepares and Uses the Volunteer Information Package

Small nonprofit coordinators, volunteer managers at large organizations, and HR or operations teams typically prepare and collect the package during onboarding and recurring renewals.

  • Volunteer coordinators who schedule shifts and manage rosters for events and programs.
  • Prospective and returning volunteers who must provide contact, health, and consent information.
  • Partner organizations and background-check providers that need permitted access to run screenings.

Preferred roles, specific skills or certifications, days and hours available, and expected start or end dates to coordinate assignments, training, and shift planning across teams.

Authorizations & Consents

Explicit signatures for background checks, media release, liability waivers, and transportation consent; each signature line should include a date and printed name for attribution.
