Important Billing and Reporting Dates

Key billing and tax dates related to invoices affect payment terms, 1099 reporting, and internal aging cycles; track them proactively to avoid penalties.

Invoice Due Dates:

Follow stated net terms; check client PO for exceptions.

Monthly Cutoff:

Include services up to cutoff date to bill in current cycle.

1099 Reporting:

Allow documented time for invoice challenges before collections.

Late Fees Start:

Apply late charges after grace period specified in terms.

Common Preparation Mistakes to Avoid

  • Omitting the client purchase order or contract reference leads to delayed approvals and misapplied payments; include PO numbers clearly on each invoice.
  • Using inconsistent invoice numbering or duplicate numbers causes reconciliation errors and may trigger audit questions from clients or accountants.
  • Failing to attach signed timesheets, incident reports, or patrol logs increases dispute likelihood and lengthens collections cycles.
  • Misstating tax treatment or omitting vendor tax ID risks backup withholding, inaccurate 1099 filings, and potential penalties from tax authorities.

Consequences of Inaccurate Invoicing

1099 Penalties: $60–$330 per form (IRC §6721)
Intentional Disregard: $660+ per form, no maximum
Backup Withholding: 24% withholding on payments
Contractual Remedies: Late fees and interest
Collection Costs: Possible recovery of costs
Reputational Risk: Client disputes and loss

Who Typically Signs or Approves Invoices
