Billing and collection: All charges are due by the Due Date. Past due balances will incur interest at the rate set forth above and may be subject to service suspension or collection proceeding if not paid within thirty (30) days after the Due Date. Customer disputes regarding billed usage or meter readings must be submitted in writing within fifteen (15) days of the Invoice Date; submission of a dispute does not relieve the obligation to pay undisputed amounts. The provider may require payment of the disputed amount as a condition for continued service pending resolution.

Meter reading and liability: Meter readings and computed consumption are the basis for charges. Provider's recorded readings are presumed accurate and conclusive unless manifest error is demonstrated. Provider's liability for any billing error is limited to correction of billing and refund or credit of amounts improperly billed. Provider is not liable for indirect or consequential damages arising from service interruption except as required by applicable law.

Consistent invoice numbering
Use an automated, sequential invoice number system tied to your billing platform to prevent duplicates, simplify reconciliation, and provide reliable references for collections and audits.
Clear payment instructions
Prominently display payment methods, remittance address, electronic payment links, and due dates to reduce processing confusion and decrease time to payment.
Document rate changes

Include meter serial, reading timestamps, and usage breakdowns for tiered rates so customers can verify charges and staff can resolve disputes more quickly.

Common Mistakes to Avoid When Preparing Water Invoices

  • Missing or duplicate invoice numbers causing reconciliation delays and collection confusion.
