What a Website Changes Request Is

Website Changes Request is a standardized form used to request modifications to a company's website, including content updates, layout adjustments, new pages, asset replacements, form changes, and technical fixes. It documents the requester, priority, desired outcomes, functional and visual requirements, affected URLs, acceptance criteria, and rollout instructions. Using a consistent request form helps coordinate development, content, design, and legal review; it creates an auditable trail for approvals and scheduling. This document is used for internal project management and external vendor work, and can be routed electronically for signatures and attachments.

Why a Standard Request Improves Accuracy and Speed

A Website Changes Request clarifies scope, assigns responsibility, and records approvals to reduce rework and delays. Standardized requests improve planning, enable consistent testing and deployment, and produce a documented approval path that supports compliance, billing reconciliation, and post-deployment audits.

Why a Standard Request Improves Accuracy and Speed

Who Typically Submits and Reviews These Requests

Typical requesters include product managers, content editors, marketing teams, and external vendors submitting change specifications.

  • Marketing: requests content, landing pages, and campaign tracking changes; coordinates copy and assets.
  • Product: requests feature flags, UI adjustments, new components, and acceptance criteria for QA.
  • IT/DevOps: schedules deploy windows, notes technical impacts, and provides rollback instructions.

Approvers often include engineering leads, compliance or legal reviewers, and project managers who confirm readiness and release timing.

Essential Sections to Include in Every Request

Core sections of a Website Changes Request define scope, priority, acceptance criteria, technical dependencies, approval path, testing requirements, and deployment instructions for production release.

Scope

Describe all requested changes with precise page URLs, content to add or remove, visual mockups or screenshots, browser and device constraints, and any API or backend alterations required to complete the work.

Priority

Specify priority level (low, medium, high, urgent), desired completion date, business justification, impact on users, and whether the change blocks other planned releases or features.

Acceptance Criteria

List measurable criteria that confirm success, including expected content text, layout pixel tolerances, functional tests, performance benchmarks, and the person or team responsible for final verification.

Dependencies

Identify related tickets, required assets, third-party services, database migrations, feature flags, content owner approvals, and any scheduled maintenance windows that must be coordinated before work can begin.

Rollout Plan

Provide step-by-step deployment instructions, tagging or branch names, required QA and staging checks, monitoring metrics to watch post-deploy, and clear rollback steps if issues occur.

Approvals

Record approvers, signature dates, role-based authority levels, contact information, and whether electronic approval via authorized e-signature platforms meets internal audit and vendor compliance requirements policies.

Security and Compliance Considerations

Storage Encryption: AES-256 encryption at rest
Transport Encryption: TLS 1.2/1.3 for data in transit
Audit Trail: Immutable timestamps, IP, and action log
Access Controls: Role-based access and SSO/SAML support
Regulatory Compliance: ESIGN, UETA, SOC 2 Type II
Health Data Options: HIPAA-compliant workflows; BAA available

Step-by-Step: Completing and Routing the Request

Follow these steps to complete and route a Website Changes Request form for approval and deployment.

  • 01
Draft Request: Enter scope, URLs, desired changes, and attachments.
  • 02
Specify Priority: Choose priority and target completion date.
  • 03
Assign Owners: List responsible engineer, content owner, and QA lead.
  • 04
Submit for Approval: Route to approvers and capture electronic signatures.

Configuring the Online Request Workflow

Configure online form fields, notifications, and integrations to align with your ticketing and deployment systems.

Field Configuration
Signature Method Email link, SMS code, or e-signature platform
Notifications Email and optional Slack or Teams alerts
Attachments Allow screenshots, PDFs, and mockup ZIPs
Ticket Integration Create or update Jira/ServiceNow ticket automatically

Where Completed Requests Are Sent

Routing steps show where completed requests are sent, who reviews them, and how approvals convert into tracked tickets.

  • Send to: Engineering queue and project manager for scheduling
  • Legal Review: Compliance checks for content or privacy implications
  • QA Testing: Assign staging tests and acceptance verification
  • Deployment: Schedule release window and monitor post-deploy logs

Distribution Channels and Authentication Options

Choose distribution channels and signing platforms that match your security, audit, and integration requirements before submission.

  • Integrations: Salesforce, Jira, Teams, Google Workspace
  • File Formats: PDF, DOCX, HTML, images supported
  • Auth Options: Email link, SMS code, SSO/SAML

Timing Guidelines and Internal SLAs

Key timing rules and internal SLA targets help prioritize requests and avoid missed release windows.

Request Submission Deadline:

Submit at least five business days before target release

High Priority SLA:

Target triage within 24 hours and deployment within 3 business days

Standard SLA:

Review within three business days and schedule next sprint

Emergency Changes:

Immediate notification; approvals by phone plus written follow-up

Maintenance Windows:

Deploy only during agreed windows and inform stakeholders 48 hours prior

Common Mistakes to Avoid

  • Unclear scope leads to rework and scope creep, increasing development time and causing missed dependencies across teams because acceptance criteria are not measurable or testable.
  • Failing to attach assets, style guides, or image source files forces designers to recreate materials, which delays delivery and risks visual inconsistencies.
  • Routing requests to incorrect approvers or using informal chat approvals creates audit gaps and uncertain authorization for production changes.
  • Skipping QA, accessibility, or security checks for expediency can introduce regressions, accessibility violations, or data exposure that require costly remediation.

Risks and Potential Consequences of Errors

Production Outage: Site downtime and revenue loss
Security Exposure: Unintended data leaks or credentials exposed
Regulatory Violation: HIPAA or privacy noncompliance fines
SEO Damage: Loss of rankings and traffic
Vendor Dispute: Billing disputes or scope disagreements
Reputational Harm: Customer trust erosion

Electronic Signature vs Digital (PKI) Signature

Compare electronic signatures and cryptographic digital signatures to choose appropriate signer authentication and evidence level for Website Changes Requests.

Criteria Electronic Signature Digital (PKI) Signature
Definition any electronic marker pki cryptographic signature
Legal Validity esign/ueta accepted esign/ueta accepted
Non-repudiation audit trail based certificate-based strong evidence
Typical Use routine approvals regulatory or fda records
