What the Website Development WordPress Migration document is

The Website Development WordPress Migration document defines the scope, responsibilities, deliverables, schedule, and acceptance criteria for moving an existing website to a WordPress environment. It typically records pre-migration inventory, data export procedures, hosting and DNS tasks, content and media handling, plugin and theme configuration, testing protocols, and post-launch support. The document allocates ownership of credentials, backups, and rollbacks and clarifies what constitutes successful completion. It is used to set expectations between the client and developer and to form a written basis for billing, intellectual property assignment, and dispute resolution.

Why a formal migration agreement matters

A written Website Development WordPress Migration document reduces ambiguity about deliverables, minimizes downtime risk, and documents consent for remote actions. It creates a clear record for dispute resolution and retention obligations, and supports electronic execution under ESIGN and UETA where permitted.

Why a formal migration agreement matters

Who typically relies on a migration agreement

Organizations and vendors use this agreement to coordinate technical tasks, allocate risk, and document required approvals.

  • Small business owners and marketing teams coordinating site redesigns and vendor handoffs.
  • Agencies and freelance developers defining scope, payment milestones, and hosting transition steps.
  • IT and compliance teams ensuring data handling, backups, and regulatory safeguards are documented.

The document helps both technical and non-technical stakeholders align on rollout timing, testing responsibilities, and approval procedures.

Core sections to include in a professional migration agreement

A complete Website Development WordPress Migration document organizes work into clear sections so both parties can verify scope, timing, and legal terms.

Scope of Work

Describe which pages, databases, media, plugins, and theme assets will be migrated, and state any exclusions to avoid scope creep.

Deliverables

List deliverable items (staging site, export files, documentation, training) with formats, file locations, and acceptance criteria for each item.

Schedule & Milestones

Set discovery, content freeze, migration window, testing, and go-live dates, plus contingency windows and change-order procedures.

Credentials & Access

Specify required admin accounts, temporary credentials handling, least-privilege access, and procedures for revoking access after completion.

Testing & Rollback

Define test cases, user acceptance testing, SEO checks, data integrity verification, and the rollback plan if migration issues occur.

Legal Terms

Cover payment, warranties, intellectual property assignment, liability limits, confidentiality, and governing law for the agreement.

Essential information fields for the migration file

Client Legal Name: Full registered entity name.
Site URL: Production hostname and staging URL.
Hosting Provider: Company name and access portal.
Admin Credentials: Temporary account with scope noted.
Backup Location: Path or cloud bucket for exports.
Content Inventory: List of pages, media, and DB tables.

Step-by-step sequence to complete a WordPress migration

Use this sequence as a checklist to reduce downtime and ensure rollbacks remain possible if problems occur.

  • 01
Prepare & Backup: Take full site and DB backups before any changes.
  • 02
Export Content: Export media and DB in compatible formats.
  • 03
Staging Setup: Deploy WordPress on staging with matching PHP and DB versions.
  • 04
Migrate & Test: Import content, test forms, SEO, and links, then schedule go-live.

How to configure online workflows for approvals and handoffs

Digital workflows streamline approvals, credential exchange, and sign-off while preserving an audit trail for compliance and accountability.

Field Configuration
Authentication Email + optional SMS code for signer identity
Document Formats PDF or DOCX exports for recordkeeping
Conditional Fields Use conditional acceptance for optional services
Notifications Auto-notify stakeholders at each milestone

Typical routing for submission, review, and final transfer

A consistent handoff path reduces missed steps and creates a reliable audit trail for migrations that rely on third-party access or approvals.

  • Submit Request: Client provides inventory, credentials, and sign-off
  • Developer Review: Developer confirms scope and schedules work
  • Staging Approval: Client reviews staging site and signs acceptance
  • Go-Live Transfer: DNS change and post-launch verification

Technical considerations for eSubmission and compatibility

Identify file formats, integration endpoints, and storage platforms before work begins to avoid rework.

  • File Types: PDF, DOCX, CSV, HTML supported for exports
  • Integrations: Salesforce, NetSuite, Google Workspace compatibility
  • Authentication: SAML/SSO or two-factor as required

Confirm integration credentials and test API connections in staging so production transfers require minimal coordination and fewer outages.

Typical timelines and milestones for migrations

Project timelines vary by site complexity; the list below provides common milestone durations to use when estimating calendar impact.

Discovery Window:

1–2 weeks to map pages and plugins

Migration Window:

1–6 weeks depending on data size

Testing Period:

1–2 weeks for QA and UAT

Content Freeze:

24–72 hours recommended around go-live

DNS Propagation:

24–72 hours for global propagation

Common mistakes to avoid during a WordPress migration

  • Failing to take a complete backup of database and media before starting, which prevents fast rollback.
  • Not documenting plugin or theme versions, causing compatibility issues on the new host and unexpected breaks.
  • Neglecting SEO redirects and canonical tags, resulting in search ranking drops and broken inbound links.
  • Using production credentials in staging without revoking them afterward, increasing long-term security exposure.

Risks and potential consequences of migration errors

Data Loss: Permanent loss of content or user data.
Downtime: Extended site outage impacting revenue.
SEO Impact: Traffic decline from broken links and redirects.
Compliance Breach: Exposure of regulated data (HIPAA/FERPA).
Contract Dispute: Payment hold or remediation demands.
Rebuild Costs: Additional development fees to fix issues.
