Invoice is issued for services performed and payroll disbursements processed on behalf of the Client for the payroll period identified above. Issuer certifies that all employee compensation, tax withholdings and statutory contributions reflected in this invoice are accurate to the best of its knowledge and were calculated in accordance with applicable law and the Client's payroll instructions.

Payment is due in full by the Due Date specified. If payment is not received by the Due Date, a late fee equal to 1.5% per month (18% APR) or the maximum permitted by applicable law, whichever is less, will be applied to the outstanding balance. Client remains responsible for all fees, penalties, or interest assessed by tax or regulatory authorities resulting from delayed payments by the Client.

Disputes regarding billing must be submitted in writing within seven (7) calendar days of the invoice date. Failure to timely notify the Issuer of a dispute constitutes acceptance of the invoice amount and waives the Client's right to contest charges except for manifest error or as otherwise required by law.

What a Weekly Payroll Invoice Is and when it’s used

A Weekly Payroll Invoice documents labor costs, taxes, and reimbursements for a single pay week and itemizes hours, rates, deductions, and net amounts due. Employers, staffing agencies, and contractors use it to request payment for wages processed weekly, to reconcile payroll with accounting, and to support tax reporting and audit trails. A clear weekly invoice speeds accounts-payable processing and provides the documentation needed for payroll tax filings and internal controls.

Why a clear Weekly Payroll Invoice matters

A concise, accurate weekly payroll invoice reduces payment delays, improves payroll-accounting reconciliation, and creates an auditable record for tax and compliance reviews.

Why a clear Weekly Payroll Invoice matters

Who prepares and receives Weekly Payroll Invoices

Use a standardized weekly invoice format to ensure consistent approvals, correct tax processing, and faster payment cycles.

  • Payroll teams and HR departments preparing detailed wage summaries for accounts payable and bookkeeping.
  • Staffing firms and temp agencies billing client organizations for weekly labor provided by temporary workers.
  • Independent contractors or subcontractors invoicing general contractors or clients for weekly labor and materials.

Essential sections to include on a professional Weekly Payroll Invoice

A complete weekly payroll invoice groups pay details, tax withholdings, employer contributions, and payment instructions so payroll, accounting, and auditors can verify amounts without additional documents.

Header

Company name, invoice number, billing and payment addresses, and the week ending date to uniquely identify the billing period and simplify reconciliation.

Employee Details

Employee or contractor names, identifier (last four of SSN or employee ID), job codes, and classification (W-2 employee or 1099 contractor) to support correct tax treatment.

Hours & Rates

Daily or weekly hours, regular and overtime rates, and a clear formula showing how gross pay was calculated for each line item.

Deductions

Itemized pre-tax and post-tax deductions: federal/state tax withholding, FICA/Medicare, benefits, garnishments, and any employer-side taxes.

Totals & Net

Gross pay, total withholdings, employer taxes or contributions, and net payable amount presented with currency and rounding rules.

Payment Info

ACH details or check remittance address, payment terms (e.g., Net 7), invoice due date, and a contact for payment questions.
