What the Window Specifications Document Is

A Window Specifications Document is a technical record that defines materials, dimensions, performance criteria, installation tolerances, and acceptance tests for windows used on a building project. It consolidates manufacturer data (e.g., NFRC ratings), glazing schedules, frame details, thermal and acoustic performance requirements, and site-specific instructions that contractors and suppliers rely on to bid, fabricate, deliver, and install units. The document reduces ambiguity between design intent and installation, supports code compliance checks, and becomes part of project closeout documentation when signed and retained by the owner and contractor.

Why a Clear Specification Matters

A concise specification aligns stakeholders, reduces change orders, and provides objective acceptance criteria for inspections and warranty claims. It preserves design intent and documents performance obligations for procurement and compliance reviews.

Why a Clear Specification Matters

Typical Users and Contributors

Each user needs different details: designers require performance metrics, contractors need installation tolerances, and manufacturers require fabrication drawings and testing criteria.

  • Architects and façade engineers who define performance and integration requirements for the building envelope.
  • General contractors and glazing subcontractors who use the specs to price, order, and install units to tolerance.
  • Suppliers and manufacturers who confirm product capabilities, lead times, and factory quality control procedures.

Essential Sections to Include

A professional Window Specifications Document groups information by scope and function to make procurement, verification, and installation straightforward.

Identification

Project name, building address, drawing references, specification revision number, and responsible party contacts for questions and clarifications.

Performance

Thermal U-factor, SHGC, visible transmittance, air infiltration, water penetration resistance, and required NFRC or ASTM test results.

Materials

Frame alloy or filler, glazing types, coatings, sealants, gaskets, and fasteners with manufacturer part numbers and finish specifications.

Dimensions

Unit nominal sizes, clear opening tolerances, sash and frame profiles, and shop drawing approval process before fabrication.

Installation

Mounting details, anchorage schedules, flashing and air/water barrier integration, and permitted adjustment ranges during installation.

Testing & Acceptance

On-site inspection criteria, field water/air testing procedures, required certificates, warranty terms, and remedial action thresholds.

Required Data Elements at a Glance

Project ID: Project number
Manufacturer: Name and contact
Product Code: Model or SKU
Performance Ratings: NFRC values
Installation Tolerances: Dimensional limits
Inspection Checklist: Acceptance items

Step-by-Step: From Specification to Installation

Follow these steps to move the Window Specifications Document from draft to accepted installation standard.

  • 01
Draft: Prepare initial spec with design and code requirements.
  • 02
Review: Distribute to contractors and manufacturers for comment.
  • 03
Approve: Finalize shop drawings and obtain sign-offs pre-fabrication.
  • 04
Inspect: Perform field tests and record acceptance results.

Configuring an Online Specification Workflow

Set up roles, review steps, and document controls to manage revisions, approvals, and procurement routing in an eWorkflow system.

Field Configuration
Authoring Architect edits; version control enabled
Manufacturer Review Comment period, 7–14 days
Contractor Approval Sign-off before fabrication starts
Record Retention Archive final signed PDF

Digital Delivery and Signing Considerations

Confirm the platform meets contractual and regulatory requirements for record retention, and ensure recipients can view without specialized software.

  • File Formats: PDF and DOCX
  • Audit Trail: Timestamped evidence
  • Integrations: ERP and project systems

Where to Send and How to Submit Final Specifications

Finalize routing so each stakeholder receives the correct document version and the signed record is stored in a central repository.

  • Owner: Retains authoritative signed copy
  • Contractor: Receives fabrication package
  • Manufacturer: Receives shop drawings for production
  • Inspector: Receives test reports and acceptance paperwork

Typical Timeframes and Deadlines

Set and communicate clear deadlines for review, approval, fabrication, and on-site testing to avoid schedule impacts.

Review Period:

7–14 days for manufacturer and contractor comments

Shop Drawing Approval:

Approve before fabrication start; often 10 business days

Fabrication Lead Time:

Varies by product; typically 4–12 weeks

Delivery Window:

Coordinate within construction schedule tolerances

On-Site Testing:

Perform air and water tests at scheduled inspection dates

Common Preparation Errors to Avoid

  • Omitting measurement reference points or confusing finished opening with rough opening, which leads to frequent misfabrication and rework on site.
  • Failing to specify test standards or acceptable tolerances for air and water infiltration, creating disputes during inspection and warranty response.
  • Using non-specific material descriptions (for example, 'high-quality sealant') rather than vendor part numbers and cure schedules, which complicates procurement and warranty enforcement.
  • Not aligning specification revisions with shop drawings and purchase orders, resulting in scope mismatches and change orders during construction.

Risks and Contract Remedies for Incorrect Specs

Schedule Delays: Change orders and rework
Cost Overruns: Additional fabrication or labor costs
Warranty Disputes: Manufacturer liability gaps
Inspection Failure: Rejected installations
Safety Risks: Structural or water intrusion issues
Procurement Liability: Claims for non-conforming goods

Real-World Examples of Electronic Specification Workflows

These customer examples show how signed specification records reduce friction between teams and accelerate procurement.

Martin Properties — Tim Martin, Founder

Martin Properties standardized shop drawings with electronic specs to reduce errors.

  • Resulted in faster approvals and fewer punch-list items.
  • The team reported more reliable deliveries and clear warranty records after switching to consolidated, signed specification packages for each project phase.

BIS — Dan Rotelli, CEO

BIS adopted signed specification templates across projects to centralize compliance checks.

  • Improved traceability for change orders.
  • Legal and procurement teams could reference a single signed version for disputes, shortening resolution timelines and reducing administrative overhead.
