What the Wine Specification Document Is

A Wine Specification Document is a formal, written record describing the technical, legal, and commercial details of a bottled wine offering. It typically lists producer identity, blend or varietal composition, vintage, vineyard source, alcohol by volume (ABV), total acidity and pH, production methods, aging regimen, closure type, bottling lot identifiers, packaging dimensions, labeling statements, allergen declarations, and any quality or regulatory certifications. The document serves buyers, packagers, importers, distributors, and regulators as the authoritative specification for production, labeling, shipment, and acceptance criteria.

Why a Clear Specification Matters

A precise Wine Specification Document reduces disputes, ensures regulatory compliance, and sets measurable acceptance criteria for production and delivery.

Why a Clear Specification Matters

Who Typically Prepares and Reviews This Document

Final sign-off is usually required from an authorized representative with contractual signing authority before shipping or invoicing.

  • Production teams and cellar managers responsible for recipe and process control.
  • Quality assurance and lab personnel validating analytical results and lot traceability.
  • Procurement, importer, or distributor staff who accept shipments and verify label claims.

Primary Signers and Their Roles

Production Manager

The Production Manager certifies that the wine was produced according to the specification and signs to confirm lot-level adherence to stated parameters and process controls.

Quality Director

The Quality Director verifies laboratory results, sensory checks, and compliance items (allergens, sulfite levels, ABV) and signs to attest acceptance for release or shipment.

Core Elements to Include in a Professional Specification

A robust Wine Specification Document groups production, composition, packaging, regulatory, and logistical details into clearly labeled sections to avoid ambiguity and to support traceability.

Identification

Producer name, brand, bottling location, lot or batch ID, and contact details to enable traceability and recall actions if needed.

Composition

Varietal percentages or blend recipe, vintage, appellation or vineyard source, and any additives or processing aids used during production.

Analytical Data

Measured ABV, residual sugar, total acidity, pH, free/total SO2, and any test limits or acceptance ranges for each parameter.

Processing & Aging

Winemaking techniques, fermentation vessel types, oak regimen, filtration or fining methods, and any special handling instructions.

Packaging & Labeling

Bottle type, capacity, closure, capsule, label copy and placement, allergen disclosure, and UPC or barcode identifiers.

Logistics

Minimum order quantities, packing configuration, shipping temperature guidance, shelf-life, and release or hold conditions.

Required Fields to Capture

Producer: Legal entity name
Vintage: Year of harvest
Varietal: Grape type(s) listed
Blend: Percentages where applicable
ABV: Alcohol by volume
Allergens: Sulfites, egg, milk, etc.

Step-by-Step: Completing the Wine Specification Document

Follow these sequential steps to prepare, review, and finalize a specification that supports production and commercial agreements.

  • 01
Draft: Populate identification, composition, and packaging sections with accurate data.
  • 02
Verify Lab Data: Attach analytical test results and confirm values fall within acceptance ranges.
  • 03
Internal Review: Quality and production sign off on processes and tolerances.
  • 04
Execute: Authorized representative signs and dates the final document.

How to Configure an Online Specification Workflow

Design a digital workflow that routes the specification for review, verification, and signing with clear field validations and attachments.

Field Configuration
Required Fields Mark Producer, ABV, Vintage, and Signature fields as mandatory
Attachments Allow upload of lab certificates and COAs (PDF preferred)
Conditional Fields Show allergen fields only if specified additives present
Approval Order Route to Quality then Production then Authorized Signer

Where to Send or File the Final Document

Determine the official destinations for signed copies so all stakeholders have the necessary records for compliance and traceability.

  • Internal Archive: Master copy retained in quality records system
  • Distributor: Send signed PDF to purchasing and logistics contacts
  • Customs / Import: Provide spec and COA to customs broker when required
  • Regulatory Agency: Submit when requested by state alcohol regulator

Digital Signing and Delivery Considerations

Choose a platform that supports PDF, DOCX uploads, and integrates with tools used by procurement and quality teams for single-source records.

  • Authentication: Email, SMS, KBA, or SSO
  • Audit Trail: Timestamps, IP, and action log
  • Integrations: CRM, ERP, and cloud storage

Consequences of an Incorrect Specification

Labeling Violation: Regulatory fines, recalls
Quality Rejection: Rejected shipments, return costs
Contract Dispute: Claims for nonconformance
Traceability Loss: Hindered recalls and investigations
Financial Exposure: Storage, rework, and freight costs
Reputational Harm: Customer and retailer trust loss

Common Mistakes to Avoid

  • Leaving analytical ranges undefined, which causes disputes when batches test near limits.
  • Using informal or inconsistent product names that do not match label approvals or registrations.
  • Omitting sample dates or lab method references, reducing the evidentiary value of test results.
  • Failing to record lot or batch numbers and attachments, complicating traceability and recall efforts.

Practical Examples and Typical Workflows

Two common scenarios illustrate how a specification supports production and commercial handoffs across the supply chain.

Small Winery Procurement

A winery drafts a specification for a private-label bottling run stating varietal, ABV, and closure requirements

  • The distributor requests a COA and lot sample before approval
  • The finalized specification and COA are stored with purchase orders and shipping documents to ensure consistent fulfillment and simplify future reorders.

National Distributor Acceptance

A national buyer requires a standardized specification to evaluate multiple suppliers

  • Suppliers submit digital specs with attached lab certificates
  • The buyer uses the signed specification as the acceptance standard, reducing inspection time at receipt and streamlining onboarding.

Typical Timelines and Lead Times

Key dates and turnaround expectations help align production scheduling, quality testing, and order fulfillment.

Sample Approval Window:

Allow 7–21 days for sensory and lab review

Production Lead Time:

Scheduling and bottling typically require 4–12 weeks

Label Approval:

State label approvals can take 2–6 weeks

Shipping Lead Time:

Domestic distribution 3–10 days; international varies

Specification Updates:

Allow 1–2 weeks for contract amendment processing

Key Milestones from Draft to Release

A sequenced milestone view shows the primary stages from initial draft to product release.

01

Draft Specification

Author fills all fields and attaches COA and supporting files.

02

Internal QA Review

Quality confirms analytical results and process notes.

03

Buyer Approval

Purchasing reviews and accepts specification for purchase order.

04

Final Release

Authorized signer executes the document and releases product for shipment.
