What the WIPO Registration Form Is and when it’s used

The WIPO Registration Form is the formal filing used to request international protection of an intellectual property right through the World Intellectual Property Organization. Most commonly this refers to an international trademark application under the Madrid System or to recording assignments and changes to an existing international registration. The form gathers applicant identity, priority claims, a specification of goods and services, designated contracting parties, and payment instructions so WIPO can process an international record.

Why using the WIPO Registration Form matters

A correctly completed WIPO Registration Form centralizes coverage across multiple jurisdictions and establishes an international filing date or priority claim. It reduces duplicate national filings, creates a single maintenance cycle, and provides a clear administrative record used by WIPO and designated offices for examination and publication.

Why using the WIPO Registration Form matters

Who typically prepares and files the form

Several parties commonly complete a WIPO Registration Form depending on size and complexity of the filing.

  • Independent trademark owner or in-house counsel preparing a single international filing.
  • Private trademark attorney or local agent filing on behalf of a corporate client.
  • IP service providers or law firms handling multi-country portfolios and renewals.

Choose the person or role with the appropriate authority and access to supporting documents to avoid delays during formalities checks.

Typical signatories and authorized filers

Corporate Owner

A named corporate officer or authorized representative signs when the owner files directly. This signer must match the legal entity listed as applicant and have authority to authorize assignments or agent appointments, or WIPO may refuse or suspend processing.

Attorney / Agent

A licensed trademark attorney or local agent signs or submits on behalf of the applicant under a power of attorney. Agents are often used when multiple designated states require local representation or certified priority documents.

Essential information the form must include

Applicant Name: Exact legal name
Correspondence Address: Full street address
Nationality: Applicant citizenship
Basic Number: Basic application/registration
Goods/Services: Nice Classification
Authorization: Signature or POA

Step-by-step: completing and filing a WIPO Registration Form

Follow a concise sequence to gather materials, complete the form, and submit to WIPO or a local office.

  • 01
Gather supporting documents: Collect basic filing, priority proofs, and POA if needed.
  • 02
Complete form fields: Enter applicant, classes, and priority data carefully.
  • 03
Confirm fees: Calculate WIPO and country designation fees precisely.
  • 04
Submit and monitor: File via WIPO e‑services and watch formalities notices.

How the WIPO filing and review workflow operates

A standard workflow moves from submission through WIPO formalities to national examination and publication.

  • Submission to WIPO: WIPO receives the international application and fees.
  • Formalities check: WIPO verifies form completeness and receipt of documents.
  • Transmission to offices: WIPO forwards to designated national IP offices for substantive review.
  • Publication and registration: If accepted, WIPO records and publishes the international registration.

Recommended digital workflow settings for electronic filing

Configure your filing workflow to ensure authentication, correct file formats, and secure document attachments before submission.

Field Configuration
Authentication ESIGN / UETA compliant consent
File Format PDF or PDF/A preferred for attachments
Attachments Include certified priority copies when required
Payment Accept credit card or bank transfer

Technical considerations for e-filing and e-signatures

Verify file formats, signer authentication, and integration needs before using an e-signature or document-transmission platform.

  • File formats: PDF and DOCX supported
  • Integrations: Salesforce, NetSuite, Google Workspace
  • eSignature support: ESIGN/UETA-compliant audit trail

Choose a submission process that preserves timestamps, audit trails, and copies of attachments; retain originals and certified copies according to registry rules.

Key elements of a professional WIPO Registration Form

A complete form and supporting package reduce the risk of formalities objections and accelerate national processing.

Clear Applicant Data

Provide the legal entity name, type, address, and contact details exactly as on the basic application or registration to prevent identity mismatches during formalities.

Correct Classifications

Identify Nice Classification classes precisely and use specific product or service descriptions to avoid partial refusals or requests to amend the specification.

Priority Information

Enter priority country, number, and filing date accurately and attach certified copies when a priority claim is made under the Paris Convention.

Designations and Fees

List each designated contracting party and calculate per-designation fees; errors in designation selection can change the scope of protection and fees owed.

Power of Attorney

When filing through an agent, include a signed power of attorney or statement of representation in the format required by WIPO and by designated offices.

Supporting Attachments

Attach required documents such as priority certificates, translations, and proof of entitlement; missing attachments often trigger formalities objections.

Download formats and supporting documents to include

Use standardized file types and certified supporting documents to meet WIPO and designated office requirements.

Download Formats

Use PDF or PDF/A for the primary form and scanned certified copies; maintain originals in secure storage for legal proof.

Certified Copies

Provide certified copies of priority documents when claimed; obtain certified extracts from the issuing office or apostilles where required.

Power of Attorney

Include a signed POA if filing through an agent; follow WIPO formatting guidelines and local office requirements for acceptance.

Translations

Supply translations only when specifically requested by a designated office; incorrect translations can delay examination.

Timing considerations and key deadlines to track

Be aware of priority, response, publication, and renewal timelines to preserve rights and avoid penalties.

Priority Claim Window:

Six months for Paris Convention priority claims

Formalities Response:

Typically 2 months to correct WIPO formalities notices

Publication:

WIPO publishes international registrations after formalities clearance

Renewal Cycle:

International registrations renew every 10 years

Designation Deadlines:

Follow designated offices’ deadlines for substantive examination

Key milestones from filing to enforceable protection

Track milestones to coordinate national responses and maintain an uninterrupted chain of rights.

01

Preparation

Assemble applicant data, priority proofs, and specification lists.

02

International Filing

Submit to WIPO and pay required international fees.

03

Formalities & Transmission

WIPO checks and sends to designated national offices.

04

National Decisions

Designated offices examine and issue grant or refusal.

Common preparation errors that delay processing

  • Incomplete priority documentation or failure to attach certified copies causes formalities objections and can invalidate a claimed priority.
  • Vague goods and services descriptions lead to refusals or requests to clarify the scope of protection by designated offices.
  • Mismatched applicant names or incorrect entity types between the basic application and international form create identity disputes and processing delays.
  • Omitting or using an incorrect power of attorney when an agent files often requires corrective filings and can suspend proceedings.

Risks and consequences of incorrect or late filings

Loss of Priority: Six months risk
Designated Refusal: National office refusal possible
Increased Costs: Corrective filings add fees
Procedure Delay: Processing suspension risk
Administrative Rejection: Form incompleteness causes rejection
Enforcement Gaps: Protection not effective in some states
