What a Wrestling Match Agreement Covers

A Wrestling Match Agreement is a legally binding contract between an event promoter and performer that sets match terms, compensation, schedule, medical and safety obligations, insurance and liability allocation, intellectual property rights, and termination conditions. It clarifies responsibilities for training, travel, ring conduct, and health screening, and often requires proof of insurance and medical clearance before participation. The agreement can include confidentiality, publicity, and indemnity provisions and should specify governing law, dispute resolution, and signature blocks for all parties.

Why a Written Agreement Matters for Matches

A clear contract reduces disputes, assigns risk, fixes payment terms and scheduling, and documents medical and insurance obligations for wrestlers and promoters.

Why a Written Agreement Matters for Matches

Who Typically Signs a Wrestling Match Agreement

The agreement is used by multiple stakeholders involved in producing and performing at live wrestling events.

  • Promoters and event organizers who manage bookings, payments, and insurance obligations.
  • Performers and talent who need to confirm match conditions, medical clearance, and compensation.
  • Venue operators and insurers who require proof of coverage and contractual indemnities.

Each party should retain a fully executed copy and ensure required supporting documents are attached before the event.

Core Elements to Include in the Agreement

A professional Wrestling Match Agreement organizes critical provisions so rights and responsibilities are explicit and enforceable across scheduling, payment, safety, and publicity matters.

Match Terms

Date, time, duration, match type, permitted moves, and any scripted outcomes or discretionary elements relevant to performance obligations.

Compensation

Guaranteed fee, win/bonus structure, travel reimbursement, payment schedule, withholding obligations, and any tax reporting responsibilities.

Medical Clearance

Required pre-event medical examinations, timelines for submitting results, concussion protocols, and return-to-play standards.

Liability & Indemnity

Mutual indemnities, limitation of liability, assumptions of risk, and how injury claims and third-party claims will be handled.

Insurance

Minimum insurance requirements, certificate of insurance delivery deadlines, additional insured endorsements, and coverage limits.

Termination

Cancellation notice periods, force majeure treatment, replacement talent provisions, and refund or make-good terms.

Step-by-Step: How to Complete and Execute the Agreement

Follow a consistent process to prepare, verify, and execute the agreement so all parties and required documents are in place before the event.

  • 01
Prepare Document: Populate names, dates, and match terms accurately.
  • 02
Attach Proofs: Add insurance certificates and medical clearances.
  • 03
Review: Confirm payment and cancellation clauses with counsel.
  • 04
Execute: Obtain signatures and distribute copies to stakeholders.

Set Up an Online Execution Workflow

Configure a digital workflow that places signature fields, collects attachments, and enforces required authentication for each signer.

Field Configuration
Document Upload PDF or DOCX accepted; convert to PDF for consistent signing.
Signature Method Electronic signature under ESIGN/UETA; record timestamps and audit trail.
Authentication Email link or SMS code; use stronger methods for high-risk signers.
Retention Store final PDF with audit trail for the contract term plus retention period.

Where to Send and How Signatures Flow

A typical routing sequence ensures the promoter, performer, venue, and insurer each receive and retain the executed agreement.

  • Send to Performer: Initiate signature request to performer email for review and signing.
  • Send to Promoter: Route to promoter for countersignature and final approvals.
  • Provide to Venue: Deliver executed agreement and COI to venue management.
  • File for Records: Store signed PDF and attachments in secure recordkeeping system.

Technical Requirements for Digital Execution

Use a platform that supports reliable audit trails, common file formats, and required signer authentication options.

  • File Formats: PDF, DOCX supported
  • Integrations: Salesforce, Microsoft 365, NetSuite
  • Authentication: Email, SMS, KBA options

Confirm the provider supports your compliance needs (e.g., HIPAA BAA if collecting sensitive medical records) and stores tamper-evident signed PDFs.

Typical Timing and Deadlines to Track

Track key dates and deadlines to ensure medical clearances, insurance, and payment schedules are satisfied before the event.

Effective Date:

The date obligations begin; use MM/DD/YYYY format.

Medical Documents Due:

Often 7–14 days before the event depending on promoter rules.

Insurance Certificate Due:

Commonly required 7–30 days before event; confirm insurer deadlines.

Deposit and Final Payment:

Specify deposit due date and final payment deadline before performance.

Cancellation Notice:

State required notice period (e.g., 30 days) for non-emergency cancellations.

Common Mistakes That Cause Disputes

  • Vague payment terms leaving timing and method unspecified, which often leads to late-payment disputes and contested fees.
  • Missing or late medical clearances, creating liability exposure and potential event cancellation or insurer denial of claims.
  • Failing to attach or verify insurance certificates and endorsements, which can invalidate indemnities and leave parties uninsured.
  • Using informal messages instead of a signed amendment to change match terms, producing ambiguity about the current contractual obligations.

Security and Compliance Considerations

Encryption: TLS 1.2/1.3 in transit
Data-at-Rest: AES-256 encrypted storage
Certifications: SOC 2 Type II and ISO 27001
HIPAA Support: BAA available when PHI is involved
Audit Trail: Timestamp, IP, and action log
File Types: PDF and DOCX preserved with signature metadata

Risks and Potential Consequences of Errors

Breach Liability: Contract damages and legal exposure.
Event Costs: Cancellation fees and vendor losses.
Insurance Denial: Coverage may be denied without required COI.
Regulatory Risk: Licensing or permit violations possible.
Tax Reporting: Incorrect tax handling creates IRS penalties.
Reputational Harm: Public disputes can hurt future bookings.
